About The Position

Job Purpose: The overall purpose of this job is to support the goals and objectives of the Institute for Museum and Library Services FY23 Museums for America grant “Databasing, Developing, and Disseminating the Living Collections of the Fort Worth Botanic Garden.” This is a part time grant-funded appointment through August 2027 or after 1,312 hours have been completed. As the Assistant Plant Records Coordinator, you will be responsible for inventory, databasing, transitioning to new collections database, volunteer recruitment and training, staff training, data cleaning, exhibition, and interpretation.

Requirements

• Experience or demonstrated ability to perform basic on-line and in situ research and prepare reports, recommendations, and other documents based on that research.
• Data entry and data management skills; experience with plant collections databases preferred.
• Advanced knowledge of various species of flowers, trees, shrubs, and turf.
• Advanced understanding of botanical naming conventions.
• Knowledge of plant materials and of common references used to verify nomenclature.
• Internal and external customer service skills with ability to maintain effective working relationships.
• Organized with ability to prioritize work, make decisions, and complete projects efficiently.
• Willingness and ability to travel as needed for research, training, plant moves, etc.
• Basic understanding of plant health and symptoms of stress/disease adequate to allow accurate ratings of plant condition during field audits.
• Successfully pass a physical exam to assess whether the individual can perform the duties of the position with or without accommodation.
• Maintain a current Texas Driver’s License and auto-related liability insurance.
• Walk over uneven surfaces, use stairs, bend, squat, and carry up to 20 pounds.
• Use of various types of vision, including but not limited to close vision, distance vision, and color differentiation.
• Work outside during public exhibits/events in Texas climate conditions.
• Be adaptable and flexible to changing schedules including occasional weekends and evenings.
• Ability to support and participate in FWBG public exhibitions and events.

Responsibilities

• Helping to monitor and enforce adherence to approved living collections and related policies and procedures.
• Performing data entry and management of living collections database.
• Assisting in the creation of procedures and formats for garden plant labels, signs, and nametags, and performs label-making duties when required to maintain workflow.
• Assisting with organizing and overseeing volunteers.
• Participating in special events/exhibits preparations, operations, and removal.
• Assisting with audits and inventories of plant collections and reporting findings.
• Reviewing plants on the ground to confirm identity and condition, checking plant labels to assure all major accessions in the collection are properly entered, and communicating needs.
