About The Position

The North Carolina Aquariums at Fort Fisher is seeking a dynamic, efficient, and enthusiastic individual to join our team as an Assistant Special Events Coordinator. This position will assist with coordinating special events and facility rentals.

Requirements

  • Bachelor’s degree from an appropriately accredited institution. OR An equivalent combination of training and experience.
  • Weekend, evening, and holiday work will be required.
  • Must meet DNCR Fleet Safety Guidelines and have ability to obtain and maintain a valid driver's license issued from within the United States or be able to obtain one within 90 days of employment.
  • Must be able to lift and carry 50 pounds.
  • Recommended candidate will be subject to a background check prior to hiring.

Nice To Haves

  • Experience planning/scheduling special events, such as weddings, parties, corporate meetings, and public events in an aquarium, museum, nature center, zoo, park, hotel, or similar facility.
  • Experience with sales contracts.
  • Experience with Microsoft Office Suite.

Responsibilities

  • Scheduling and working with interested parties to facilitate the use of the Aquarium for special events and facility rentals. This includes phone and email communication, in-person and virtual meetings, and proactively following-up and completing the special events and rental timeline.
  • Supporting special events activities under the direction of the Special Events Coordinator.
  • Assisting with scheduling and coordinating all assigned special events and rentals at the Aquarium each year.
  • Promoting the Aquarium through participation in off-site events such as trade shows, expos, conferences, and association meetings.
  • Collaborating with the special events coordinator and assigned working team in planning and determining special event topics, dates, times, and locations, so as to maximize visitor participation in activity or event.
  • Having a pro-active approach in planning and create a schedule to ensure consistent communication with upcoming clients, staff, volunteers, and vendors.
  • Managing onsite events and rentals in support of the Aquarium's revenue-generating program. During rentals and events, the Assistant Special Events Coordinator must have the presence of a leader: knowing how to handle a variety of tasks in a limited amount of time, handling miscommunications with integrity, and setting a tone of teamwork amongst all involved. They must be able to delegate and address concerns with vendors, clients, guests, etc. with the Aquarium's reputation and the client's best interests in mind. They must wear their uniform with aquarium logo at events and rentals to be identifiable by guests.
  • Assisting with pursuing Aquarium participation in festivals, carnivals, parades, receptions, open houses, etc., to promote and market the Aquarium.
  • Coordinating use of volunteers at special events and rentals with Volunteer Coordinator; assisting in training of volunteers for special events and rentals as needed.
