About The Position

The Association Manager is responsible for overseeing and managing the daily operations and governance of support of the Association Board of Directors at The Villages Golf and Country Club. Reporting to the Assistant General Manager, this role ensures the effective administration of Association services, compliance with governing documents and California Common Interest Development (CID) laws, and the maintenance of strong communication between The Villages Team, Board members, District Advisory Committees (DACs), residents, and other stakeholders. Requirements

  • Minimum of three (3) years of experience in association management or a related leadership role.
  • Experience in fiscal management, budgeting, and financial reporting.
  • Experience coordinating with vendors, contractors, and cross-functional teams.
  • Strong knowledge of California Davis-Stirling Act and CID governance requirements.
  • Excellent leadership, interpersonal, and communication skills.
  • Strong organizational and time management skills with attention to detail.
  • Ability to effectively manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office Suite and association management software.
  • Ability to manage and supervise staff effectively.
  • Strong problem-solving and conflict-resolution skills.
  • Demonstrated ability to work collaboratively in a team-oriented environment.
  • Successful completion of a pre-employment drug screening and criminal background check is required.
  • Must maintain professional conduct and demonstrate the ability to work collaboratively in a team-oriented and stable work environment.
  • Possession of a valid California driver’s license is required and must be maintained throughout employment if driving on The Villages property.
  • Bachelor’s in Business Administration degree or a related field (or equivalent experience).

Nice To Haves

  • Experience supporting a Board of Directors and working within a Common Interest Development (CID) environment preferred.
  • CAI (Community Associations Institute) or CACM (California Association of Community Managers) certification preferred.

Responsibilities

  • Oversee the day-to-day administrative operations of the Association, ensuring efficient and effective services.
  • Primary Liaison to the District Advisory Committees (DAC’s) - there are 12
  • Provide governance support to the Association Board of Directors, including managing communications, correspondence, and documentation.
  • Coordinate and facilitate Board meetings, including preparing and posting agendas, attending meetings, recording and maintaining official minutes, and ensuring compliance with Davis-Stirling Act and CID requirements.
  • Collaborate with the Assistant General Manager to coordinate annual meetings, director orientations, and election processes.
  • Maintain effective communication with Board members, DACs, residents, and other stakeholders.
  • Develop, implement, and monitor policies, procedures, and guidelines to ensure compliance with governing documents, state regulations, and best practices.
  • Maintain accurate and complete Association records in accordance with legal requirements.
  • Manage Association finances, including budget preparation, financial reporting, monitoring expenses and revenues, and maintaining a clear understanding of reserve policies and principles.
  • Collaborate with the Assistant General Manager, Director of Board Services, Director of Operations, and other department heads to address resident concerns and resolve issues.
  • Coordinate with external vendors and contractors for services related to Association operations.
  • Oversee preparation and distribution of Association communications, including newsletters, notices, and announcements.
  • Stay current on relevant laws, certifications, regulations, and industry best practices related to community associations and CID governance.
  • Assist in planning and executing community events and activities.
  • Participate with The Villages Team and the Association Board in establishing annual objectives and long-term strategic goals.
  • Demonstrate awareness of workplace safety practices and support organizational efforts to maintain a safe environment for staff, residents, and visitors.
