About The Position

Reporting to the Human Resources Director, the Benefits Specialist II executes the day-to-day administration of the organization’s employee benefits programs. This role serves as the first point of contact and coordinator for benefits, leaves of absence, accommodations, workers’ compensation, and related state and federal compliance requirements. The Specialist supports over 400 benefits eligible employees and collaborates closely with HR leadership, vendors, and employees to deliver a high quality, compliant benefits experience.

Requirements

  • Familiarity with payroll and benefits software systems.
  • Excellent proficiency with Excel spreadsheets including V Lookup (required for reconciliations).
  • Must have excellent organizational and interpersonal skills, be highly attentive to detail, and be able to manage multiple projects simultaneously.
  • Ability to work well in a team environment and maintain a high degree of confidentiality due to the nature of the position.
  • Excellent client service and interpersonal skills and professional demeanor in communicating with staff members at all levels throughout the organization, as well as with vendors and others.
  • Bachelor's degree in human resource management or related field
  • Five years of related benefits or employee benefits administration experience
  • Experience in a multi-state organization and/or complex nonprofit organization
  • Experience with HRIS.

Responsibilities

  • Manage all employee enrollments, disenrollment's, and mid-year changes into and out of benefits such as medical, dental, vision, life insurance, etc.
  • Ensure all enrollments, disenrollment's, and changes are reflected correctly to all vendors and carriers. Collaborate with payroll to ensure employee status changes and deductions have taken effect.
  • Reconcile and pay monthly benefits provider invoices.
  • Answer questions from employees about benefit offerings and eligibility. Coordinate the resolution of employee issues with insurance providers and other benefits administrators.
  • Collaborate with talent acquisition to provide new employees with an explanation of benefits and instruct them on enrollment and fulfillment procedures.
  • Facilitate company-wide open enrollment for 400+ benefits-eligible employees, including benefits system updates and rate testing, answering employee questions, and following up to ensure proper enrollment.
  • Facilitate COBRA administration in coordination with our third-party administrator. Process elections and terminations as needed. Collaborate with departmental staff to provide clear information for employees about their COBRA rights, including the election period, coverage options, and associated costs.
  • Collaborate with department leadership to create and maintain benefits-related SOPs.
  • Responsible for the day-to-day administration of 403(b) retirement plan, including but not limited to; processing employee opt-outs, employee deferral changes, biweekly funding payments, bi-annual supplemental payments, and monthly employer match eligibility review.
  • Support the annual audit of the 403(b) retirement plan with Human Resources Director, including reconciliation.
  • Support EDD-related processes by completing requested paperwork and answering basic FAQs about EDD-related processes, including unemployment insurance, State Disability Insurance, Paid Family Leave, and employer response requirements.
  • Coordinate all Leave of Absences (through AbsencePro) with FMLA, PDL, and PFL usage and other issues as required by our in-house regulations and legal requirements. Assist employees with questions about Leave of Absences.
  • Support the interactive process for employee ADA accommodations by answering FAQs, facilitating simple requests, and escalating complex requests to department leadership.
  • Coordinate Workers’ Compensation claims in collaboration with third-party resources.
  • Run, analyze, and submit reports as required by state agencies and vendors, and as requested by project leaders. Manage, review, and submit accurate records for annual Affordable Care Act (ACA) reporting.
