About The Position

The Bilingual Administrative Assistant-Enrollment supports recruitment and enrollment activities across UCC schools and provides quality customer service to families during the enrollment process.

Requirements

  • High School Diploma or equivalent required
  • One year of office experience working as a secretary, good organizational and communication skills, attention to detail, and good customer service skills.
  • Fully bilingual in English and Spanish (written and verbal)
  • Basic knowledge of computer programs – Microsoft Word, Excel, and Google Drive.

Responsibilities

  • Provides administrative and enrollment support for UCC Schools as needed.
  • Attends recruitment events as assigned, which include night and weekend events.
  • Recruits' families and maintains a waiting list and funded enrollment.
  • Registers children, following the enrollment process.
  • Becomes thoroughly familiar with Head Start Employee Handbook: Human Resources Policies and Procedures, Head Start Operations Manual, and all other HS handbooks, manuals, and resources, and adheres to them
  • Attends all workshops and meetings as deemed necessary by the immediate supervisor.
  • Attends all required staff and parent meetings and activities.
  • Performs data entry functions as necessary to keep files up-to-date
  • Keep the office well-maintained and organized
  • File paperwork and complete reports, as needed
  • Responsible for understanding Head Start Performance Standards and local child care licensing regulations.
  • Expected to be knowledgeable of the regulations associated with the prevention of occupational disease and injury, including the exercise of universal precautions and the prevention of contamination
  • Check email frequently and reply on time.
  • Create newsletters and announcements as needed.
  • Aid parents with school enrollment procedures and paperwork.
  • Maintain office bulletin boards updated to keep information current and accurate.
  • Answer phone calls promptly and professionally, assist as needed when called on two-way radio
  • Request office supplies, follow procedures with purchase orders, and perform supply inventory weekly/biweekly
  • Attend monthly staff meetings and other training
  • Become thoroughly familiar with the Head Start Employee Handbook: Human Resources Policies and Procedures, Head Start Operations Manual, and all other HS handbooks, manuals, and resources, and adhere to them.
  • Comply with all Health and Safety policies, including ensuring no child is left alone or unsupervised by staff, consultants, contractors, or volunteers while in their care.
  • Provide enrollment and administrative support for all UCC Early Learning programs across all sites as needed.
  • Performs other duties and responsibilities as assigned by their supervisor.
  • Ensure compliance with all Head Start Program Performance Standards, including child safety, documentation, supervision, and classroom quality standards.
  • Adhere to all State Licensing regulations (DPI and DCF), including mandated ratios, health and safety protocols, and staff training requirements.
  • Support and uphold Young Star quality standards by implementing developmentally appropriate practices, continuous quality improvement, and family engagement.
  • Maintain program quality in accordance with the National Accreditation Commission (NAC) criteria, including curriculum implementation, assessments, and teacher-child interactions.
  • Follow the guidelines and expectations outlined in the Early Learning Staff Handbook, including attendance, communication, professional conduct, and daily responsibilities.
  • Comply with all UCC Personnel Policies, including confidentiality, workplace expectations, and team collaboration.
  • Participate in required professional development and training hours to meet federal, state, and accreditation requirements.
  • Ensure active supervision of children at all times, as required by Head Start, licensing, United Community, and NAC guidelines.
  • Accurately complete and submit required documentation (e.g., lesson plans, child observations, incident reports) in a timely manner.
  • Demonstrate cultural competency and uphold program values of equity, inclusion, and respect in all interactions with children, families, and colleagues.
  • Check and respond to emails to ensure timely communication with supervisors, team members, and families, in alignment with agency expectations and professional responsibilities.
