About The Position

The Billing & Payroll Team Lead reports to the Corporate Controller and is responsible for overseeing accurate, timely, and compliant billing and payroll operations. This role leads a small billing team, ensures adherence to company policies and regulatory requirements, and acts as the primary point of coordination between Finance, HR and Sales Ops with respect to billing and payroll processes. The Team Lead combines hands-on processing with leadership, process improvement, and quality control responsibilities.

Requirements

  • 3+ years of billing and accounts receivable experience, required
  • 2+ years of payroll process experience required, required
  • Strong knowledge of payroll regulations and processing payroll for companies with 200+ employees all around the US
  • Ability to handle sensitive customer and employee data with confidentiality and care
  • Excellent attention to detail and analytical skills

  • Advanced proficiency in Excel and financial systems

Responsibilities

  • Supervise end-to-end billing processes, including invoice generation, validation, and distribution
  • Ensure billing accuracy in accordance with contracts, rate schedules, and service agreements
  • Resolve billing discrepancies and customer inquiries in a timely manner
  • Ensure the processing of billing system transactions (Intacct, Domo, Maxio) are completed accurately and timely
  • Monitor billing cycles and ensure deadlines are consistently met by the billing team
  • Ensure all billing team members are up to date on all billing processes across all product lines/entities
  • Streamline billing processes between product lines/entities to create efficiency and consistency throughout the business
  • Mentor and provide support to billing team wherever possible to promote professional development within the team
  • Collaborate with sales and operations teams to maintain accurate billing data
  • Prepare balance sheet reconciliations for billing-related accounts (example: accounts receivable, unbilled receivables, deferred revenue, customer deposits) by month end close deadlines
  • Assist with the updating of quote-to-cash process documentation and flow-charting of processes as the business makes changes to billing and billing-related systems over time
  • Learn the billing processes to be a backup for everyone on the billing team as each of the entities’ billing process is different and ensure that all the billing team members are cross trained on each other’s billing process as back-ups for each other
  • Lead recurring team meetings including bi-weekly billing team calls to discuss process improvements, billing challenges, and recurring collection review calls
  • Other duties as assigned.
  • Partner with HR and Finance to ensure all changes related to payroll and required for processing are received in a timely manner.
  • Review employee 401(k) deferral elections per the retirement plan custodian and payroll system to ensure they are accurate.
  • Support HR in ensuring that all changes to an employee’s record in Paylocity are timely and accurately updated.
  • Ensure all payroll-related changes are documented and saved to the payroll folder on the shared drive prior to payroll review and submission of bi-monthly payroll.
  • Manage data entry (including bulk uploads) for changes to current period payrolls (i.e., commissions, bonus, expense reimbursements).
  • Ensure payroll is processed and submitted for approval in a timely manner.
  • Continuously provide suggestions to drive improvement to the process while maintaining adherence to internal controls and payroll laws.
  • Partner with the Corporate Controller and HR to ensure payroll tax compliance is addressed as state requirements evolve over time.
  • Act as the primary contact for internal inquiries related to payroll.
