About The Position

The Biopsy Services and Administrative Support Specialist provides administrative, clinical support, and biopsy case‑management services for the Oral and Maxillofacial Pathology division. This position receives, logs, tracks, and transports biopsy specimens; maintains accurate and timely data entry within Axium; coordinates slide pickup and distribution to faculty oral pathologists; processes biopsy kits; completes billing charges; maintains organized records; and supports the office with routine clerical needs. This position ensures efficient workflow between the clinic, laboratory, and faculty while maintaining compliance with documentation and specimen handling protocols.

Requirements

  • EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
  • EXPERIENCE: Four (4) years of related work experience; OR Associate’s Degree and two (2) years of related work experience; OR Bachelor’s Degree in lieu of experience.
  • Must have a valid Driver’s License.
  • Knowledge of medical record documentation standards.
  • Skill in accurate data entry and strong attention to detail.
  • Ability to track and manage biopsy specimens with zero‑error tolerance.
  • Ability to communicate effectively with faculty, staff, and laboratory personnel.
  • Skill in organizing records and maintaining filing systems.
  • Ability to follow specimen handling, chain‑of‑custody, and safety protocols.

Responsibilities

  • Logs and tracks all incoming biopsy specimens; maintains accurate Axium entries for each patient and specimen. Ensures proper documentation accompanies each specimen at all stages.
  • Transport biopsy specimens to the UT Dermatopathology Laboratory.
  • Retrieves completed slides from UT Derm Path. Distributes slides to oral pathology faculty for diagnosis.
  • Receives inventory and dispenses biopsy kits.
  • Operates and maintains autoclave equipment for the sterilization of instruments related to biopsy services.
  • Answers phone calls and routes inquiries appropriately.
  • Files documents, maintains organized records, and supports office operations.
  • Ensures accuracy and timely submission of all billing components.
  • Performs other duties as assigned.
