About The Position

The Bookkeeper & Grant Tracker is responsible for maintaining accurate financial records, supporting daily accounting operations and ensuring proper tracking of all grant related activity. This role manages bookkeeping functions such as accounts payable, accounts receivable, reconciliations, and general ledger maintenance, while also monitoring grant budgets, allowing costs, reporting deadlines and compliance requirements. Schedule Mon-Friday 35 hours per week, located Amherst, MA IN PERSON

Requirements

  • Associate or Bachelor's Degree in Accounting, Finance or related field preferred
  • 2+ years of bookkeeping or accounting experience; grant accounting experience is a plus
  • Experience with accounting software (Quickbooks, Netsuite, Sage, Microsoft Dynamics, etc) preferred

Responsibilities

  • General Ledger - Maintain accurate financial records using Sage 300.
  • Reconciliations - Perform monthly bank and credit card reconciliations.
  • Closing: Perform month-end and year-end closing.
  • Helping with the reconcile balance sheet accounts such as prepaid expenses, accruals, deposits, and deferred revenue.
  • Grant Monitoring - Track expenditures by item for specific grants to ensure budget lines are not exceeded.
  • Grant Reporting - Run budget-to-actual reports monthly for active grants and compile documentation for grantor reports.
  • Compliance - Ensure expenses comply with grantor terms and conditions (e.g., federal Uniform Guidance).
  • Invoicing - Prepare reimbursement requests, drawdowns, or billing packets with complete supporting documentation.
  • Reconcile grant revenue and expenses monthly to ensure accuracy and timely recognition
