About the position

We are seeking a highly organized and detail-oriented Brokerage Coordinator to provide critical support to our commercial tenant representation real estate brokers. This role requires exceptional administrative skills, the ability to manage multiple tasks simultaneously, and a proactive mindset to ensure seamless operations within the brokerage team. The Brokerage Coordinator will play a key role in supporting the transaction management team members, organizing client interactions and deliverables, and maintaining essential brokerage documentation. Responsibilities

  • Conduct and manage contact searches to support broker outreach for cold and warm calls.
  • Assist the Transaction Management Team with client survey/relocation deliverables formatting.
  • Create and update tour books for client property tours.
  • Print and bind materials as needed.
  • Manage tour scheduling and coordinate logistics.
  • Sanitize documents using Adobe to ensure compliance and confidentiality.
  • Maintain and update legal documents as needed.
  • Coordinate signature collection via DocuSign.
  • Process expenses for brokers and ensure timely submission.
  • Manage ReApps (Stream's internal invoicing system) for invoice processing and tracking.
  • Track cash received and assist with accounts receivable monitoring for commissions.
  • Maintain accurate records of financial transactions and follow up on outstanding payments.
  • Ensure stacking plans are formatted and updated with the latest market data.
  • Maintain and manage team's CRM systems to store and organize essential prospect/client contact information and new prospect meetings set by the team.
  • Update necessary Stream legal documents for various transactions (NDAs, commission agreements, exclusive agreements).
  • Coordinate and organize client gifts and entertainment to enhance relationships.
  • Assist in preparing client-facing presentations and materials.

Requirements

  • Experience in an administrative or brokerage support role, preferably in commercial real estate.
  • Real Estate License or willingness to become licensed in the first 3 months of employment.
  • Strong organizational and time management skills with the ability to prioritize tasks.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience with Adobe Acrobat, DocuSign, and CRM platforms preferred.
  • Excellent attention to detail and ability to manage multiple projects at once.
  • Strong written and verbal communication skills.
  • Ability to work independently and in a fast-paced, team-oriented environment.
