About The Position

Brottier Hall, St. Martin Hall, and McGinley Hall all located on the campus of Duquesne University located in Pittsburgh, PA are managed by Capstone On-Campus Management (COCM)/Lumina Communities. COCM is responsible for all aspects of operational management for Brottier, St. Martin, and McGinley Halls in Lumina Communities. Under the direct supervision of the Operations Coordinator, in collaboration with the Assistant Director of Operations, the Building Assistants are responsible for customer service and administrative functions for the front desk and amenity spaces operations of Brottier, St. Martin, and McGinley Halls.  The ideal candidate for this position is enthusiastic, has great attention to detail, can work independently, and possesses a strong work ethic.

Requirements

  • Obtain high school diploma or general education degree (GED)
  • Current student at a post-secondary institution at Duquesne University or other post-secondary institution
  • Ability to read and comprehend simple instructions, short correspondence, and write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.  All must be accomplished in English
  • Ability to apply common sense understanding to carry out instructions.  Ability to deal with problems involving several concrete variables in standardized situations.
  • Have knowledge and ability operate Microsoft Word, Excel, and Outlook.
  • Ability to operate basic office equipment including photocopier, fax, and telephone.  Basic typing and filing skills. Ability to operate basic tools including screwdriver and wrench.

Responsibilities

  • Oversees office supply management by taking inventory and restocking supplies as needed.
  • Assists with front desk office management and monthly audits.
  • Coordinates and audits make ready closets/other supplies to ensure supplies are on hand when needed.
  • Completes regular inspections of common area furniture and amenities spaces, ensuring that furniture is not damaged and amenity spaces are cleaned and maintained.
  • Assists with parking garage and bike room checks to ensure residents are parked in correct spaces and have parking tags.
  • Complete regular inspection of common areas; ensuring lobby bathrooms are clean and stocked with supplies and amenity areas are cleaned and maintained.
  • Assists the office/management team with administrative support including regular building walkthroughs.
  • Attending all required meetings and trainings pertaining to the building and front desk operations.
  • Other duties & projects as assigned include assisting with mail audits & return to sender inventory, organization/inventory, move-in & move out.
  • Other duties as assigned.
