About The Position

The Administrative and Building Services Assistant provides comprehensive administrative, customer service, and facilities coordination support for the College of Natural Resources (CNR). This position supports Building Management Services (BMS) by coordinating office operations, financial tracking, facility and infrastructure projects, and safety compliance efforts. The role serves as a central point of contact for internal and external stakeholders, ensuring efficient communication, accurate documentation, regulatory compliance, and smooth day-to-day operations across the college. Requirements

  • Demonstrated experience providing administrative, customer service, or facilities-related support in a professional setting.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple priorities, meet deadlines, and work independently or collaboratively.
  • Proficiency with Microsoft Office Suite, including Excel.
  • Experience using work order, project tracking, or administrative systems.
  • Ability to supervise, coordinate, and train student or temporary employees.
  • Strong problem-solving skills and ability to respond calmly to urgent or emergency situations.
  • Minimum of two years of customer service experience.

Nice To Haves

  • Familiarity with online platforms such as Workday, ShopUW+, or maintenance management experience in a higher education setting.
  • Experience with facilities operations, building project coordination, or infrastructure support.
  • Understanding laboratory safety standards and building compliance procedures.
  • Experience improving administrative, project, or operational workflows.

Responsibilities

  • Coordinate with stakeholders to ensure timely completion of required reports, evaluations, and follow-up actions.
  • Maintain accurate logs and documentation of expenditures, reimbursements, and program-related transactions.
  • Distribute, monitor, and compile program surveys and evaluations.
  • Provide clerical and administrative support for special projects as assigned by the Dean’s Team or Building Manager.
  • Serve as the primary point of contact for administrative inquiries for the Building Management Services.
  • Provide front-line customer service for telephone, email, and in-person visitors; respond to routine inquiries regarding college operations.
  • Maintain and organize digital and physical records, including correspondence, forms, financial documentation, and project files.
  • Assist with preparing reports, forms, communications, databases, and project summaries.
  • Order and manage basic office and operational supplies.
  • Coordinate and document eyewash station and emergency shower testing throughout CNR facilities.
  • Assist with laboratory safety compliance and mitigation of inspection findings in collaboration with Environmental Health & Safety.
  • Maintain training records and compliance documentation related to facilities and safety systems.
  • Support emergency preparedness efforts and maintain awareness of building systems.
  • Evaluate current administrative and operational processes and recommend improvements for efficiency and compliance.
  • Assist the Building Manager with facility and infrastructure projects from planning and scheduling through completion and documentation.
  • Coordinate communication between faculty, staff, Facilities Services, contractors, student employees, and external vendors.
  • Track, submit, and monitor work orders in Workday and related systems; communicate progress updates to stakeholders.
  • Maintain maintenance logs, project timelines, and completion records.
  • Assist with scheduling, task assignment, and oversight of student employees as directed by the Building Manager.
  • Support data collection and reporting related to facility performance, project efficiency, and operational needs.
