Administers the day to day business functions of the parish, religious education, and auxiliary groups. Establishes an atmosphere that fosters a caring and collaborative environment. Cooperates with the parish staff to provide support for all ministry and service initiatives.

Requirements

  • Practicing Catholic with strong Catholic values required.
  • Demonstrated administrative experience required.
  • Preferred experience in fiscal management and budgeting required.
  • Preferred strong written and oral communication skills required.
  • Demonstrated ability to work well with diverse groups of people and maintain confidentiality required.
  • Ability to maintain positive, professional relationships with Pastor, parishioners, and staff.
  • Strong computer skills, experience with Windows Office and Office Suite.
  • Valid Iowa Driver’s License required.

Nice To Haves

  • Experience with Diocese of Des Moines software, policies, and internal controls preferred.

Responsibilities

  • Administrative Duties
  • Assist the Pastor with all needed meetings, schedules, correspondence, and communications. Keep the Pastor advised of all workings of the parish and facilities. Provide the Pastor with timely notification of problems as they arise.
  • Attend diocesan meetings. Responsible for communicating and implementing diocesan policies, internal controls and other requirements at Assumption.
  • Manage administrative functions including: building and grounds, budget construction and variance reporting, capital project list and prioritization, coordination of major fundraisers and volunteers, credit cards, donor acknowledgements, information technology, insurance, invoice approval, hall rental, mass attendance counts, parish communications (including annual report), policy development, security system, volunteer recruitment, warranty files, and maintenance, and other functions as assigned.
  • Manage and report the annual diocesan appeal, diocesan second collections, and other diocesan campaigns.
  • Attend committee and auxiliary group meetings as assigned by the Pastor. Assume responsibility for drafting agenda and scheduling meetings for committees as assigned. Committees may include, but not be limited to: Finance Council, Marketing Committee, Pastoral Council, Stewardship Committee, Safety Committee, and Technology Committee.
  • Maintain all corporate and legal filings and documents. Maintain bank resolutions, ACH authorizations, and bank signature cards.
  • Manage investments and make recommendations to Pastor and Finance Council regarding investment decisions.
  • Coordinate and attend staff meetings.
  • Other duties as assigned, including being back up to the parish secretary.
  • Human Resources Duties
  • Serve as benefit administrator in accordance with diocesan regulations. Manage the employee and volunteer on-boarding, VIRTUS, background check, Code of Conduct, vehicle policy, and all employment documents (Federal W-4, State W-4, and Form I-9). Manage all employee additions, terminations, and changes to diocesan benefit manager and payroll processor.
  • Maintain all employee and volunteer files in a secure and confidential environment.
  • Accounting Duties
  • Process the monthly Payroll of the Parish via a 3rd party vendor.
  • Ensures timesheets are created, distributed and collected each month for salaried employees
  • Printing of checks for the invoice process
  • Other duties as assigned by the accountant.
