About The Position

The Bedford Center YMCA is looking for a Part-Time Business Manager to join the team and serve as the branch's financial steward, operational anchor, and administrative connector, ensuring accuracy, consistency, and compliance across financial, operational, and community-support functions. This role is critical to maintaining a healthy, transparent branch operation and supporting leadership staff, and community partners behind the scenes. The ideal candidate is highly organized, detail-orientated, dependable, and comfortable managing multiple processes simultaneously while adhering to YMCA policies, procedures, and timelines. Requirements

  • Bachelor's degree in Business, Finance, Accounting, related field or equivalent combination of education and work experience, degree in progress acceptable.
  • Strong organizational skills with exceptional attention to detail.
  • Experience in financial processing, administrative support, or office management preferred.
  • Proficiency in Microsoft Office and comfort working within financial and data systems.
  • Ability to manage multiple deadlines while maintaining confidentiality and accuracy.
  • Strong communication, follow-through, and problem-solving skills.
  • Alignment with the YMCA's mission and values of caring, honestly, respect, and responsibility.

Responsibilities

  • Monitor and accurately enter incoming payments into designated systems.
  • Track and process membership and program cancellations in accordance with YMCA policy and support follow-up communications when needed.
  • Submit invoices with proper GL coding and route for approval in a timely manner.
  • Track vendor communications, maintain documentation, and follow up on outstanding items.
  • Code and reconcile branch credit card receipts by the 2nd business day of each month, ensuring accuracy and required documentation.
  • Support SGA entry and assist leadership in monitoring branch-level expenses.
  • Maintain accurate financial table files for reporting, audits, and compliance.
  • Ensure timely submission of monthly variance documentation from District Executives.
  • Submit new hire paperwork to HR accurately and on time and track onboarding progress.
  • Maintain organized internal records, including staff rosters and required documentation.
  • Manage and update branch table files in alignment with YMCA standards.
  • Submit internal forms (check requests, vendor forms, etc.) accurately and promptly, tracking approvals and maintaining records.
  • Provide administrative support to Executive and District leadership, including scheduling, document preparation, and deadline management.
  • Serve as point of contact for branch repairs and maintenance vendors, coordinating schedules, service request, and invoice submission.
  • Upload, track, and reconcile Annual Campaign gifts in a timely and accurate manner.
  • Prepare and send donor invoices and support follow-up communications as needed.
  • Maintain campaign dashboards and reporting for leadership review.
  • Assist with logistics for campaign events, donor tours, and recognition efforts.
  • Manage Board communications, meeting scheduling, calendars, and reminders.
  • Coordinate meeting logistics including room reservations, materials, food, and printed agendas.
  • Schedule and support visits with community leaders, school partners, and government officials, preparing materials or talking points as requested.
