About The Position

Cornerstone Management oversees multiple Assisted Living communities dedicated to providing compassionate, high-quality care for seniors. Our mission is to foster safe, engaging, and person-centered environments where residents can thrive while preserving their independence and dignity. The Business Office Manager supports the Executive Director in the daily administrative and operational functions of the assisted living community. This role oversees staff scheduling, payroll coordination, human resources support and assists with resident service operations to ensure the community operates efficiently and in compliance with Minnesota assisted living regulations (MN 144G). The Business Office Manager works collaboratively with clinical leadership to support quality resident care, appropriate staffing levels, regulatory compliance, and a positive work environment for employees.

Requirements

  • Associate’s or Bachelor’s degree in Healthcare Administration, Business Administration, Human Resources, or related field preferred.
  • Experience in assisted living, senior housing, healthcare operations, or a related environment preferred.
  • Experience with payroll systems, scheduling software, or HR processes preferred.
  • Strong organizational and administrative skills
  • Excellent communication and interpersonal abilities
  • Ability to manage multiple priorities in a fast-paced environment
  • Attention to detail and accuracy
  • Ability to maintain confidentiality with employee and resident information
  • This position operates within an assisted living community and requires regular interaction with residents, families, employees, and visitors.
  • The role may require occasional support across multiple departments to ensure the community operates smoothly.

Nice To Haves

  • Knowledge of Minnesota assisted living regulations is a plus.

Responsibilities

  • Assist the Executive Director in the day-to-day operations of the assisted living community.
  • Ensure operational systems and procedures are followed in accordance with company policies and Minnesota assisted living regulations.
  • Maintain operational records, reports, and documentation required for regulatory compliance and internal reporting.
  • Support preparation for state surveys, audits, and inspections.
  • Assist with recruitment, onboarding, and orientation of new employees.
  • Maintain employee personnel files and required documentation.
  • Track staff credentials, background studies, and required training in compliance with Minnesota Department of Health requirements.
  • Support employee relations, performance documentation, and disciplinary processes as directed by leadership.
  • Review and verify employee timecards for accuracy.
  • Coordinate payroll submissions in accordance with company deadlines.
  • Track PTO, overtime, and staff hours to ensure accurate payroll processing.
  • Serve as a liaison between staff and payroll regarding payroll inquiries.
  • Develop and maintain staffing schedules to ensure proper coverage across departments.
  • Coordinate schedule changes due to call-offs, PTO, and staffing needs.
  • Work with department leaders to ensure staffing levels meet resident needs and regulatory requirements.
  • Monitor staffing patterns to help control labor costs.
  • Work collaboratively with nursing leadership to support coordination of resident services.
  • Assist with resident move-ins, service coordination, and communication with families as needed.
  • Help ensure service plans and resident care needs are communicated effectively to staff.
  • Support a positive resident experience through efficient operational support.
  • Assist with maintaining compliance with Minnesota Assisted Living licensure requirements (MN Statute 144G) .
  • Help ensure required documentation and records are properly maintained.
  • Support implementation of quality improvement initiatives and operational best practices.
