About The Position

The Business Operations Coordinator will play a vital role in ensuring the effectiveness of the Security operation. Key responsibilities include managing security labor cost recovery as well as assisting Business & Training administration with day-to-day operations. The role will also provide critical support in executive presentation development, reporting, process documentation, and project coordination. By maintaining accurate SOPs and streamlining workflows, this position supports both daily operations and long-term process improvement.

Requirements

  • 2–4 years of experience in business operations, administrative coordination, or a related field
  • Bachelor’s degree in business administration, Communications, or related field, or equivalent professional experience
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint) and familiarity with reporting or tracking systems (e.g., Xytech AR module, or cost recovery management tools)
  • Strong communication, organization, and problem-solving skills
  • Experience with accounts receivable, cost recovery tracking, or financial reconciliation processes

Responsibilities

  • Manage Security Cost Recovery (Production & Third-Party) by tracking billable activity and ensuring accurate, timely invoicing.
  • Maintain organized records and follow up on outstanding items with relevant stakeholders.
  • Track and analyze operational data to support decision-making and reporting.
  • Generate clear, accurate reports and summaries for internal use.
  • Maintain and update process documentation, SOPs, and operational guides.
  • Support continuous improvement by identifying opportunities to streamline workflows.
  • Assist in departmental training coordination and onboarding support for new hires.
  • Support with training materials preparation and maintain training records to ensure team readiness.
  • Assist with Security administration Warning Notices, ensuring compliance and proper communication across Union Population.
  • Coordinate updates, tracking, and distribution in alignment with department and CBA policies.
