We are seeking a detailed oriented Business Operations Specialist to provide internal administrative support for our Business Development (BD) accounts (Automotive Manufactures). The role focuses on behind-the-scenes account management and operational support for our CARFAX automotive manufacturer partnerships. The ideal candidate will serve as a critical link between our Account Team, our Automotive Manufacturer partnerships and our internal Dealer Support teams (Finance, Legal, Marketing) while ensuring seamless account operations and contract compliance. This position will require 3 days per week in our Centreville, VA office subject to change with future business needs.

Requirements

  • Bachelor’s degree - Business Administration, Operations, Information Systems, or related field
  • 2-4 years of experience in account coordination, operations, or administrative support roles
  • Strong analytical and problem-solving skills
  • Advanced proficiency in Microsoft Excel, Word, and PowerPoint
  • Excellent attention to detail and ability to manage multiple priorities
  • Strong written and verbal communication skills for internal collaboration

  • Knowledge of data integration processes and concepts
  • Experience in contract administration or vendor management

Responsibilities

  • Account Administration: Provide comprehensive administrative support for OEM accounts including contract management, billing coordination, and documentation maintenance.
  • Internal Coordination: Serve as liaison between OEM accounts and internal departments (IT, Product, Legal, Finance) to facilitate project execution.
  • Contract Support: Assist with contract renewals, amendments, and compliance monitoring for OEM partnerships.
  • Reporting & Analytics: Generate regular account performance reports, usage analytics, and operational metrics for internal stakeholders.
  • Process Management: Maintain and improve standard operating procedures for OEM account workflows.
  • Project Coordination: Support implementation of new OEM integrations and product rollouts.
  • Issue Resolution: Collaborate with technical and business teams to resolve account-related issues and ensure minimal service disruption.
  • Documentation: Maintain detailed account records, meeting notes, and project status updates in internal systems.
