About The Position

The Berklee Career Center provides expert guidance, cutting-edge resources, and professional development experiences to students at Berklee College of Music and Boston Conservatory at Berklee. The Career Center is a dynamic department that is at the forefront of the institutional mission and is seeking strong student leaders to represent the office as ambassadors while supporting the daily operations of the office. The Career Center Graduate Assistant will support the Career Center staff and undergraduate student employees with events and programs, take a leadership role in the peer-to-peer advising program, social media and marketing strategy, and employer relations and development efforts. Additionally, Career Center Graduate Assistants will provide stellar customer service at the office front desk, answering phone calls, greeting guests, and performing other administrative tasks. The Career Center Graduate Assistant often serves as a liaison between staff advisors and other student employees on various projects. In many situations, the Career Center Graduate Assistants will be the first point of contact for current and prospective students, families, alumni, employers, and faculty/staff inquiring about our resources and attending appointments, meetings, and events. This is a unique opportunity where students can learn about using tools and strategies to explore and develop their own career while pursuing their own, more focused, professional development and leadership goals within their role, while also helping the Berklee community. Our graduate assistants should be interested in gaining and sharing detailed knowledge about the resources we offer, job and internship search techniques, arts industry employers, and related topics. They should also be comfortable communicating and mentoring undergraduate student employees, being ambassadors of the Career Center for the rest of the student body, as well as being the face of the Career Center. Work Schedule: approximately 10-20 hours per week. The Career Center is open 9:00 a.m.-5:00 p.m. Monday through Friday. Night and weekend hours are possible and available for events, training, and programs. All scheduling will be determined in conjunction with the supervisor and is flexible.

Requirements

  • Graduate-level student enrolled at Berklee College of Music or Boston Conservatory at Berklee
  • Strong communication skills: ability to clearly and concisely explain policies and procedures in person, by phone, and by email
  • Customer service skills: ability to maintain a friendly, helpful, positive, and professional attitude and behavior; anticipate and meet customers’ needs
  • Management skills: be a respectful leader, implement a team’s ideas, and work with the strengths of your team
  • Professionalism, including respectful and polite, on time and reliable, and ability to communicate appropriately with supervisor, other staff, and outside constituents
  • Ability to quickly learn detailed procedures, databases, and software
  • Ability to follow directions and strong attention to detail in project execution and management
  • Excellent time management skills and ability to multitask in a fast-paced setting with frequent interruptions
  • Comfortable working with diverse coworkers and constituents

Nice To Haves

  • Previous office and/or customer service experience is strongly preferred
  • Previous active participation in Career Center programs and resources preferred
  • Knowledge of the Career Center’s resources and programs like the Berklee Career Manager
  • Knowledge of the Berklee community and campus departments and resources
  • Familiarity with Google Mail, Google Drive, Google Calendar, Microsoft Office (Word/Excel), iWork (Pages/Numbers), Powerpoint/Keynote
  • Experience with marketing via social media (ex. Facebook, Instagram)
  • A willingness to be proactive and take initiative in order to seek out new projects or suggest new ideas or different approaches

Responsibilities

  • Provide superb front desk reception, involving actively greeting office visitors and assisting them with appointment check-in, answering questions, and referring to staff members or other offices as necessary
  • Answer main office phone professionally, fielding inquiries from students, alumni, and employers seeking to hire Berklee students, as well as staff and faculty across campus
  • Open and close the office, including organizing and tidying to keep the space presentable
  • Assist in planning, marketing, and hosting career-related events
  • Be aware of and able to promote career events, internships, and job opportunities on and off campus
  • Assist in administering student employment eligibility, providing Workday access, and setting up and closing student employment job postings
  • Assistance in student employment training, student employment advising, and social security number application training for international students
  • Manage student employment databases
  • Troubleshoot, triage, and respond to student inquiries around student employment through the Career Center and Student Employment inboxes
  • Support development of and updates to student employment handouts, video content, and other materials
  • Assist in administering internship eligibility and providing Career Manager support for interns
  • Facilitation of internship seminars and internship advising
  • Assist in managing internship databases
  • Troubleshoot, triage, and respond to student inquiries around internships through the Career Center Inbox
  • Provide administrative support to professional staff during peak internship periods including course registration, academic assignment due dates, and final grading
  • Support outreach to internship supervisors; facilitate the creation of new internship position descriptions in the Berklee Career Manager
  • Support development of/updates to internship handouts, video content, and other materials
  • Assist employers in using the Berklee Career Manager to list jobs/gigs/internships and negotiate payment based on Career Center compensation guidelines
  • Assist students and alumni in using the Berklee Career Manager to make career advising appointments and search for jobs/gigs/internships and alumni mentors
  • Maintain a schedule of approving employer accounts in the Berklee Career Manager
  • Follow the guidelines provided and make sound judgment calls on approving and rejecting employers’ job postings on the Berklee Career Manager
  • Respond and compose emails to both students and employers through the management of the Career Center inbox
  • Assist with maintaining and growing the Career Center’s social media presence
  • Manage a small team of peers to handle multiple social media platforms and create a content calendar
  • Research, curate, and analyze data for social media content calendar (ex. Facebook, Instagram); including industry news, career events, students/alumni spotlights, and on and off-campus opportunity reminders
  • Utilize graphic design platforms such as Canva to create content
  • Attend monthly meetings to establish content ideas for the month ahead, touch base on upcoming important events, etc.
