About The Position

The Case Manager is a key individual contributor responsible for developing and maintaining efficient and effective workflows for the Office for Equal Access in the Division of Administration. The Office for Equal Access includes the work of the Equal Opportunity and Access, Student Access, and Title IX offices. Through these offices, Equal Access leads Vanderbilt’s effort to assure the university is a community free from barriers to participation in its programs and activities. Equal Access responds to reports of discrimination, harassment, and retaliation, as well as providing accommodations necessary to assure access for community members. The Case Manager provides administrative support across Equal Access, assuring complete data capture, managing milestone completion and communication, and administering resolution processes through scheduling coordination, information exchange, and technical support. The Case Manager works directly with community members and others to provide process support and partners with the Director of Administration to develop and maintain Equal Access reports, assuring timely and transparent communication with stakeholders. In addition, the Case Manager formats, proofreads, and redacts reports, agreements, and correspondence for the Equal Access teams. The Case Manager reports to the Director of Administration.

Requirements

  • A high school diploma or equivalent is required.
  • At least two years of related work experience in process administration is strongly preferred.
  • Strong interpersonal skills are required.
  • Thorough working knowledge of the full suite of Microsoft Office products is required.
  • Strong verbal and written communication skills are required.
  • Strong proofreading skills are required.
  • Attention to detail is required.
  • Ability to manage projects to deadline is required.
  • Strong professional integrity and the ability to maintain the privacy of information is required.

Nice To Haves

  • A Bachelor’s degree from an accredited institution of higher education is preferred.
  • Working knowledge of online meeting platforms is preferred.
  • Knowledge of case management processes, particularly in equity-related fields, is preferred.
  • Experience with redaction tools is preferred.
  • Experience working with a diverse population is preferred.

Responsibilities

  • Facilitate resolution meetings, including scheduling key events, organizing and distributing materials, and engaging contracted resources.
  • Issue key case communications and documents in accordance with Equal Access policies and procedures.
  • Partner with Equal Access leaders to optimize workflows and enhance internal protocols.
  • Coordinate timely completion of assurances for grant recipients.
  • Provide administrative support, including scheduling meetings across multiple calendars to support core Equal Access functions.
  • Maintain accurate and complete records.
  • Coordinate with the Office Manager and Director of Administration to assure accurate data collection, curation, and reporting.
  • Format and redact written work product in accordance with Equal Access policies and procedures.
  • Additionally, undertake any other responsibilities as needed.
