We are seeking an AP Specialist & Catering Coordinator to support our team. This dual role combines administrative and customer service support for catering and event operations throughout the Dallas area with Accounts Payable responsibilities. The ideal candidate is detail-oriented, organized, and a self-starter who can balance event coordination and accounting tasks with accuracy and professionalism.. This position will be stationed out of the Gil’s Elegant Catering facility located in Grand Prairie, TX.

Requirements

  • Associate’s Degree in Accounting, Business, Hospitality, or related field; Bachelor’s degree preferred.
  • 2+ years of experience in Accounts Payable, hospitality, or a related administrative/customer support role.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint); experience with AP systems.
  • Strong organizational skills with attention to detail and accuracy.
  • Strong knowledge of catering, event coordination, and operations; general interest in food, menu design, and creative event development is a plus.
  • Ability to manage multiple priorities, communicate effectively, and provide excellent customer service.
  • Must be comfortable commuting to Grand Prairie, TX.

Nice To Haves

  • Experience with design software (InDesign, Canva, or Publisher) is a plus.
  • Strong knowledge of catering, event coordination, and operations; general interest in food, menu design, and creative event development is a plus.

Responsibilities

  • Maintain vendor relationships and resolve inquiries regarding invoices or payment status.
  • Provide administrative and clerical support to the Sales Team, including data entry, contract/BEO updates, proposals, and correspondence.
  • Assist with client communications by responding to calls and emails, supporting event planning, and ensuring excellent customer service throughout the event process.
  • Coordinate and distribute event details to internal staff and departments to ensure flawless execution.
  • Support client billing, invoice processing, and reconciliation in collaboration with the Accounting Team.
  • Manage outsourced vendor services for events, including orders, confirmations, and invoice processing.
  • Create and distribute materials such as menu signs, proposals, sample menus, and event documentation.
  • Participate in tastings, client walk-throughs, BEO meetings, and other event-related activities as needed.
  • Assist with event design, décor, and preparation for marketing, PR, and networking activities.
  • Perform other related duties as needed.
