We are an agency committed to quality gender-responsive, trauma-informed care to individual experiencing serious mental illness, developmental disabilities, and co-occurring disorders. Metrocare programs focus on the issues that matter most in the lives of children, families, and adults we serve. The Center for Children with Autism at Metrocare (CCAM) provides quality Applied Behavior Analysis (ABA) services to families in Dallas County. The population served are children with an autism spectrum disorder from 2-12 years of age. Our goal is to lead each child to his or her potential through evidence-based therapy founded on the principles of ABA. The ABA Intake Coordinator will be a part of a team of professionals at CCAM who’s the primary team member responsible for all aspects of the intake process into services for children to access ABA therapy – providing a warm and knowledgeable guide to families seeking access to ABA therapy for their child. This includes responding to interest contacts, processing referrals, providing tours of our centers, reviewing all intake documents with families, working with insurance plans to authorize initial services, and assimilating new children into the center’s schedule of therapy. The ABA Intake Coordinator will be the first point of contact for all external stakeholders interested in CCAM’s services.

Requirements

  • High School graduate with progressive customer service experience required.
  • Fluent in English and Spanish, required.
  • Basic math skills required.
  • Ability to work with reports and numbers.
  • Ability to apply common sense understanding to carry out simple one or two-step instructions.
  • Ability to deal situations that can variability
  • Use computer, printer, and software programs necessary to the position (e.g., Word, Excel, Outlook, and PowerPoint).
  • Experience in Electronic Health Record computer software (MyAvatar Netsmart, EPIC, etc.)
  • Ability to utilize Internet for resources.

Nice To Haves

  • Experience with ABA services or individuals with autism spectrum disorders, preferred.

Responsibilities

  • Responds to all external and internal correspondence requesting information on CCAM’s services requirements for access within the Center’s timeline for responding to correspondences
  • Processes all referrals to the Program within the Center’s electronic health record and updates tracking tools for intake management of cases.
  • Creates and maintains client record in MyAvatar which includes Admission forms, Program Information, Diagnosis, Financial Investigation, Cross Episode Financial Eligibility, and Managed Care Authorization data.
  • Leads tour of our Center locations, as needed, for interested families.
  • Responsible for reviewing all intake documents and requirements with families during each applicable disposition step in the intake process.
  • Responsible for ensuring all required elements for intake and referral are within a child’s record before moving the child through the next steps of enrollment.
  • Collaborates with the Clinical team (BCBA, Psychologist, Pediatrician, etc.) for gathering necessary documents required for insurance authorization of ABA services for each child and family
  • Under the mentorship of Lead Business Support and Program Supervisor, works with the current Center’s schedule of therapy to identify available therapy schedules for new families initiating therapy services.
  • Responsible to forecast enrollment needs of the Centers and utilize intake tracking systems and interest lists to enroll new families when open therapy slots are within the therapy schedule.
  • Collaborate with Business Support team members to ensure all client records are complete and accurate at all times.
  • Maintains complete, accurate and timely documentation including assessment reports, progress notes, and other required documentation.
  • Provide coverage to the Business Support position as business need requires.
  • Participates and/or provides training to other members of the CCAM team, as identified
  • Attends all CCAM team meetings
  • Performs other duties as assigned.
