About The Position

Duties Provides competent, safe and compassionate care based on established Clinic’s standards. Responsible for preloading patient demographics and review of systems summary, verifying insurance and fees due and preparing chart prior to scheduled appointments. Will greet and welcome patients, coordinate schedules, explain any fees due and accept patients’ payments. This position interacts with the patient and ensures that check-in and check-out is carried out accurately, friendly, and efficiently, answers general questions about the clinic’s policies, explains testing procedures, answers all questions and provides education when necessary. Must display kindness and a caring attitude to ensure that the patient’s experience is positive. Consistently enters data in EHR system and record detailed information in patient’s files and work within meaningful guidelines. Responsible for performing basic work-up on patients. Basic work-up to include, but not limited to: visual acuity, intraocular pressure, dilation, and confrontation visual fields. Works closely and communicates continuously with clinical support team and providers to efficiently move patients through their visit. Work to consistently deliver an exceptional patient experience. Ability to assess common safety hazards and take precautions to establish a safe work environment. Communication must be professional and effective when speaking with patients, insurance providers, medical providers, physicians, and staff. Generally, maintains the work areas in neatness and organization. Assist in formulating an initial plan of care with the provider (physicians or practitioner) and collaborate to implement a comprehensive patient plan of care to achieve expected outcomes. Responsible for handling correspondence and coordinating internal or external referrals. This position will support multiple locations – this is a traveling role. Contact & schedule pts Receives referrals daily from the CenterWell referral team and contact and schedules patients. Receives bulk lists of patients due for diabetic eye exams and contacts and schedules patients. Continuous outreach to patients to ensure booking of 100% of referrals. Helps coordinate patient transportation with CenterWell center administrators. Retinal Imaging Operations Implementing and coordinating the retinal imaging service from image capture through the billing process (TopCon-Harmony Camera or other similar device). Training CenterWell or Thomas Eye Group staff on how to use the camera and capture fundus photography. Operate the camera in the CenterWell clinics as needed. Act as the camera’s first line resource for troubleshooting and acquiring technical support from the Thomas Eye Group IT Department or the manufacturer’s technical support resources. Prepare imaging for billing in ModMed including creating a patient profile, creating visits, finalizing for billing, and collaborate with billing to ensure proper billing. Reporting Collect data on patient volume and other metrics as needed. Compile and format data in relevant platforms such as Microsoft Excel. Create reports on key metrics as needed. Deliver data and reports to leadership in a timely manner. Communicate metrics and data collected to CenterWell administrators – examples include patients scheduled reports and daily clinic reports. Other duties as assigned.

Requirements

  • High School Diploma required, some college or degree preferred; COA or COT preferred
  • 1 – 2 years in healthcare environment
  • A combination of experience, education, and/or training which substantially demonstrates the following knowledge, skills, and abilities:

  • High attention to detail, follow-through, and time management skills
  • Punctual and reliable
  • Computer literacy, MS Word and Excel, strong typing/data entry skills (speed and accuracy)
  • Previous medical office experience is preferred
  • Ability to multitask and prioritize work task based upon importance
  • Conscientious about triage and escalation of issues
  • Knowledge of EHR systems and HIPPA regulations
  • Strong written and verbal communication skills
  • Proficient in listening and understanding abilities, willingness to learn on the job
  • Knowledge of billing codes, medical terminology and diagnostic codes
  • Empathetic personality and demonstrates concern for patients’ needs
  • Communicate and coordinate with team clinic workflow and work collegially with all team members
  • Knowledge and comprehension of basic medical terminology and anatomy, and the principles of optics, refraction, and contact lenses; demonstrates familiarity with optical equipment
  • Dependable transportation and the ability to travel to multiple locations
  • Greet all patients in a professional manner
  • Facilitate the efficiency and timeliness of entering patients’ data into EHR
  • Check patients in/out and collect payment upon completion of services rendered
  • Provide appropriate literature, brochures, and information to patients
  • Review forms to be completed by the patient for accuracy and completion
  • Check patients’ eligibility and insurance authorization information
  • Copy insurance ID cards and identification for compliance relative to services in the clinic
  • Research and obtain patient records
  • Answer telephone: disseminate and document calls accordingly
  • Establish new patient chart set-up; other duties as assigned by Manager
  • Collect coinsurance and co-pays
  • Ability to work as a team member and independently with minimal supervision to achieve results desired
  • Manage daily schedule and workflow
  • Ability to work effectively within a self-directed environment
  • Scan, fax, record, and track documentation
  • Maintains the work area in a clean, sanitized, attractive, and organized manner
  • Handle high volume of patient activity with composure and professionalism
  • Willingness to take on other duties when necessary to help the clinic succeed
  • Inform patients of the purpose of testing, explain expectations, parameters, and duration
  • Obtains patient history, including but not limited to: history of present illness, past history (ocular and general), family history (ocular and general), and history of allergies and current medications
  • Documents patient data in EMR for provider review
  • Performs accurate and consistent documentation and measurement tasks that may include: Visual Acuity Manual Lensometry Confrontational Visual Fields Stereo Testing Evaluation of basic Ocular Motility Pupillary Function Tests Color Plates Applanation Tonometry Angle Assessment Dilation of Pupils Pachymetry Other tasks may be performed as a result of new technologies
  • Perform end of day balancing and reporting, and upload into the system
