About The Position

The Carrier Operations Coordinator serves as the primary liaison between HUB International's MWW, MWE & HRT regions and insurance carrier partners and HUB employees. This role manages all aspects of carrier relationships, including appointments, contracting, documentation processing, and portal access management. The coordinator ensures seamless communication and operational efficiency between internal teams and external carrier partners. In addition to the carrier relationship, the Carrier Operations Coordinator handles a wide verity of process listed below.

Responsibilities

  • Documentation Management
  • Manage Electronic Funds Transfer (EFT) forms submission and tracking
  • Process signature requests for documents requiring principal producer signatures
  • Coordinate Business Associate Agreements (BAAs) with carrier partners
  • Handle client policy documents requiring carrier coordination
  • Process Letters of Agreement (LOAs) and distribute to appropriate parties
  • Submit Non-Disclosure Agreements (NDAs) to legal department for review and approval
  • Carrier Communications & Information Management
  • Serve as central point of contact for carrier-related inquiries
  • Provide agency and agent information to internal teams and carrier partners
  • Monitor and manage the Central Carrier Ops email inbox for principal producer correspondence
  • Route actionable emails to appropriate client service teams
  • Maintain organized records of carrier communications and requests
  • Appointments & Contracting
  • Process new producer appointments with carrier partners
  • Add states and products to existing producer appointments
  • Establish agency appointments with new carriers
  • Verify appointment status and existing producer codes
  • Maintain accurate records of all appointments and contracting activities
  • Access Management
  • Create and manage carrier portal logins for service team members
  • Process access termination requests for departing employees
  • Ensure accounting teams maintain current access to carrier statements
  • Maintain security protocols and access documentation
  • Compliance & Risk Management
  • Provide Errors & Omissions (E&O) insurance documentation upon request
  • Distribute office W-9 forms to internal teams and carrier partners
  • Ensure all documentation meets regulatory and company requirements
  • Maintain confidentiality of sensitive business information
