Position Summary The Chief of Staff/Executive Officer serves as the strategic and tactical right hand to the CFO and Deputy CFO, orchestrating high-level executive operations and ensuring seamless coordination across the enterprise and center leadership landscape. This pivotal role demands a polished professional who can anticipate needs, manage complex executive workflows, and serve as the trusted interface between senior financial leadership and stakeholders at all organizational levels.

Requirements

  • Exceptional organizational and time management skills with ability to manage competing priorities in a fast-paced executive environment
  • Strong coordination abilities to facilitate complex, multi-stakeholder initiatives across organizational levels, anticipating executive needs and proactively address potential issues
  • Proven experience supporting C-suite or senior executive leadership, using a diplomatic approach to serving as primary interface for executive office
  • Attention to detail with commitment to accuracy in all deliverables
  • Proficiency in maintaining confidentiality and exercising sound judgment with sensitive information
  • Capability to synthesize complex information into clear, concise executive summaries and briefing materials
  • Superior written and verbal communication skills with ability to interface professionally with senior leadership, center directors, and enterprise stakeholders
  • Strong meeting facilitation skills including agenda setting, technology set-up, note-taking, and action item tracking
  • Technical fluency in Adobe Pro (document creation and management) and advanced proficiency in Microsoft 365 products (Excel, PowerPoint, OneNote, and Outlook); ability to quickly learn and utilize specialized NASA systems (e.g., NASA property management systems)
  • Bachelors degree and eight years of experience or eleven years of experience in lieu of degree.

Responsibilities

  • Facilitate and coordinate senior-level enterprise and center meetings for the CFO and DCFO, including preparation of presentations, Excel spreadsheets, briefing packages, and ensuring executive readiness for meetings
  • Serve as the primary interface for the OCFO Front Office, vetting all data requests, meeting requests, and coordination between CFO/DCFO and organizational, center, and enterprise stakeholders; act as the communication hub, serving as the point of contact between leadership and stakeholders
  • Manage and provide strategic guidance for multiple shared executive calendars daily, ensuring smooth operations and optimal scheduling for senior leadership
  • Coordinate and prepare comprehensive presentation packages for decisional boards and meetings; develop presentations and talking points for OCFO organizational meetings
  • Support efficient weekly reporting to by coordinating inputs, summarizing information, reviewing with CFO/DCFO, and submitting as requested
  • Track, coordinate, and prepare responses to action items for the Langley OCFO while maintaining electronic files of completed packages and supporting documentation
  • Generate high-quality presentations, charts, graphs, memos, spreadsheets, and other executive-level documents; create and route official correspondence for signatures up to and outside of Langley OCFO
  • Coordinate enterprise-level meetings at Langley, managing all logistics including conference room reservations, IT setup, supplies, visitor coordination, and liaison with Headquarters points of contact
  • Serve as property custodian for the office, supporting inventory audits and maintaining property records using NASA property management systems in accordance with LaRC directives
  • Coordinate logistics including travel plans for CFO and Deputy CFO, space utilization and personnel relocations, maintain organizational charts, and provide comprehensive administrative support for ad hoc executive requests
