About The Position

Provides administrative, organizational, and clerical support to the Child Support Enforcement Hearing Officer. This position works under the direction of the Hearing Officer and requires timely performance of essential office and clerical duties. The position requires effective, and often confidential, communication skills with parties and stakeholders to ensure timely resolution of legal matters. Works under the direct supervision of a Child Support Enforcement Hearing Officer.

Requirements

  • One year of work experience in business administration, office skills, or a related field.
  • High school diploma or GED and two years of college or vocational school education in paralegal, secretarial skills, computer operations, or a closely related field.
  • Knowledge of and ability to use Microsoft Outlook, Word, Excel, ZOOM, TEAMS, and the circuit’s Judicial Automated Recording System (JARS), Judicial Automated Workflow System (JAWS), and Odyssey.
  • Knowledge of the rules of English grammar, spelling, and punctuation.
  • Ability to communicate clearly and effectively in writing and verbally with judiciary, judicial assistants, staff, clerk’s office, and public.
  • Ability to interact effectively with the general public and stakeholders in a professional manner.
  • Ability to maintain confidentiality concerning sensitive information.
  • Ability to work under pressure and meet deadlines.
  • Ability to establish work priorities.
  • Ability to work independently.

Responsibilities

  • Assist parties and stakeholders via phone, in person, or email regarding general matters and/or the scheduling of hearings.
  • Assist in facilitating video conference hearings to ensure that parties are present and able to communicate.
  • Create and maintain JAWS calendar to ensure accurate court scheduling.
  • Timely processing Non-Jury Trial Notices by reviewing notices, double checking docketing time and video conference links, affixing signatures, filing with the Clerk of Court, conforming copies, and mailing.
  • Set Hearings by preparing and processing Notices of Hearing: coordinating hearings with parties, calendaring hearing, mailing Notices to parties, and scheduling interpreters for hearings when needed.
  • Retrieve necessary case information from Odyssey, JAWS, HCSO, and other Circuit Courts for the Hearing Officer.
  • Reconcile dockets post hearing to calendar continuances, track parties’ appearances, and perform any post hearing follow-up tasks.
  • Process court orders post hearing by reviewing recommended orders for any possible errors in case style, case number, appearances, signatures, etc., convert to PDF, create and maintain electronic folder for each calendar, and upload to the Judge’s work queue for entry.
  • Process time sensitive orders by expediting entry of order by Judge, processing electronic order to stakeholders, ensuring that writs are promptly removed from Odyssey and HCSO system.
  • Track orders post hearing by reviewing each court file to ensure that all orders have been signed by the Judge.
  • Process incoming mail accordingly and file any returned mail with the Clerk of the Court for docketing.
  • Compile monthly hearing data for Uniform Data Reporting.
  • Provide temporary coverage for other Child Support administrative staff.
  • Order office supplies.
  • Maintain hearing officer’s recusal list.
  • Prepare prep sheets for hearings.
