About The Position

Under the direction of the Childcare Business Manager, and consistent with the Christian mission of the YMCA, the Childcare Business Specialist is responsible for overseeing the day-to-day operations of all YMCA of Catawba Valley childcare programs. This includes ensuring that all aspects of the childcare program are running smoothly and efficiently. The Childcare Business Specialist is responsible for delivering accurate and outstanding customer service in the day-to-day operations of all childcare programs at the YMCA of Catawba Valley including but not limited to; before school, after school, school’s out day camp, early learning center, pre-school and summer camp participants. In addition, the Childcare Business Specialist works closely with all senior childcare directors, site directors & teachers to establish policies and procedures for best practices. Building strong relationships with parents and guardians is essential for the success of a childcare program. The Childcare Business Specialist communicates regularly with parents, providing information about program activities any concerns or issues that arise. Additionally, the administrative assistant plays a crucial role in building relationships with parents and the wider community, addressing concerns, and maintaining open lines of communication to ensure the program's success. The Childcare Business Specialist manages the financial aspects of all childcare programs which includes: ensuring all childcare billing is accurate, collections of past due balances are collected in a timely manner and monitoring of all third-party party payers (DSS Vouchers, organization, etc.) as administrative assistant of NC FAST Child Care Portal. Other Duties include, but are not limited to: Monthly management childcare reports Attends childcare meetings and perform visits to sites as directed Develops management and leadership skills and attends all staff retreats and trainings as directed Assists with preparation of year end childcare tax letter mailings Serves as a good steward of association resources Serves as an effective member of the Association Office staff team and serves as a resource to branch staff as needed Serves as backup to answer phone calls to the Association Offices and all other office functions. Carries out additional responsibilities that may be required or requested

Requirements

  • High school graduate, some college a plus (or equivalent work experience)
  • Previous experience in administrative role is preferred (childcare, financial, customer service or a communications center)
  • Detail minded, accurate, and well organized with strong customer service orientation, creative problem solving, interpersonal and diplomacy skills and collaborative work style
  • Good general office skills; proficient in using Windows software, file management & Microsoft Office (TEAMS, Word & Excel) programs
  • Must have ability to work independently in a fast paced and active work environment who has excellent written, verbal communication skills and has well-developed interpersonal skills with the ability to communicate effectively via phone, email, Zoom/TEAMS and in person
  • Must be attentive to details, be able to work with, and meet deadlines, take initiative to develop and provide information and controls necessary for efficient office operations
  • Must be able to deal tactfully with conflict and confidential information

Responsibilities

  • Demonstrate an exceptional ability to engage with members, parents, staff, volunteers, program participants and other visitors
  • Assist with participant enrollment/registration processes, childcare program changes and maintain enrollment records.
  • Demonstrates an understanding of setting up and monitoring of third-party payer subsidies (DSS Vouchers) including assisting with compiling and submitting DSS attendance records in NC FAST
  • Communicates with staff, members, program participants, parents and volunteers regarding invoices, collections, refunds, registrations, status and other concerns as needed.
  • Manages the financial aspects of all childcare programs which includes: ensuring all childcare billing is accurate, collections of past due balances are collected in a timely manner and monitoring of all third-party party payers (DSS Vouchers, organization, etc.) as administrative assistant of NC FAST Child Care Portal.
