About The Position

The Dr. John C. Corrigan Mental Health Center (JCCMHC) is seeking a candidate to provide Administrative Clerical Support to both its Outpatient and Case Management Departments to ensure smooth daily operations within both clinical programs. This position will also provide back-up coverage to the Medical Records Department and Reception Desk as needed. Please Note: The selected candidate will work 37.50 hours a week from 9:00 a.m. to 5:00 p.m. Monday through Friday. Days off will be Sunday and Saturday.

Requirements

  • Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) an equivalent combination of the required experience and the substitutions below:
  • I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.
  • II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.
  • III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience.
  • IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for the required experience.
  • Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

Nice To Haves

  • Experience working with Microsoft Word, Excel, and Mental Health Information Systems (MHIS).

Responsibilities

  • Composes and accurately types correspondences, letters, envelopes, labels, etc.
  • Receives, and distributes incoming mail, parcels and correspondence to assigned unit/individual and prepares outgoing mail and parcels, regular and/or certified, on a daily basis in order to facilitate information flow and department efficiency. Notifies appropriate administrative staff when postage funds run low.
  • Retrieves, sorts, and distributes mail to appropriate staff as needed.
  • Operates standard office machines and equipment such as computers, photocopiers and fax machines.
  • Compiles quantitative data to be included into departmental reports.
  • Answer phones in a consistently pleasant and appropriate manner and accurately assess level of need, take messages, and refer clients to appropriate staff as needed.
  • Maintains all binders, filing, committee minutes, miscellaneous materials for assigned programs.
  • Schedule or arrange for meetings, interviews, appointments, maintain Outlook calendar for assigned programs, as requested.
  • Maintain agenda, record and type committee minutes for all assigned meetings including team and staff meetings as assigned.
  • Notifies appropriate parties, orally and in writing, of information, such as meetings, conferences, trainings, etc.
  • Handles all office supplies request for department, distributes supplies to appropriate staff as requested.
  • Receives all Needs and Means applications and maintains tracking with the Needs and Means data grid to completion.
  • Provides administrative support to Outpatient and Case Management departments including preparation/processing of all required paperwork, assisting with the intake registration process and opening and closing records.
  • Cross trained to provide backup clerical support to Medical Records and Reception Department as needed.
  • Attends mandatory trainings as required by Site and/or Southeast Area.
  • Establishes and maintain harmonious working relationships with others.
  • Interact in a professional and courteous manner with all staff within and from other agencies and maintain confidentiality when conversing with community agencies and families.
  • Performs related clerical duties as required based on operational needs.
  • Performs other related duties as assigned.
