About The Position

We are seeking a highly organized and dependable Client Operations Specialist to support operations across our two growing companies- Source One Payment Solutions (merchant services/credit card processing) and Landmark Payroll . This role combines client service, operational support, merchant services administration, and payroll processing. The ideal candidate is detail-oriented, professional, and comfortable working in a fast-paced environment. Experience in merchant services or payroll is a plus, but not required . We are willing to train the right person with strong organizational, communication, and technical skills. Must be able to communicate effectively with clients and team members by phone and email.

  • Experience in merchant services, payment processing, payroll, HR, banking, or accounting is a plus but not required

Responsibilities

  • Answer and direct incoming phone calls in a professional and friendly manner
  • Communicate with clients and team members by phone and email regarding account questions, onboarding, troubleshooting, and ongoing support
  • Manage day-to-day office administrative tasks and support overall operations
  • Use our CRM and other internal software systems to maintain and update client records
  • Work closely with sales representatives to assist with new accounts, onboarding, and client follow-up
  • Support client onboarding and documentation for merchant service and payroll accounts
  • Assist merchant services clients with troubleshooting, setup, and support for credit card machines, payment terminals, and payment processing systems
  • Help coordinate troubleshooting and support for different payment solutions and processing platforms
  • Maintain organized client records and internal documentation
  • Assist with reporting, data entry, and system updates
  • Quickly learn and adapt to new software, platforms, and systems; proactively troubleshoot and resolve client or internal issues
  • Collaborate closely with internal teams, including sales, operations, and technical support, to ensure seamless client experiences
  • Identify opportunities to improve processes, streamline operations, and enhance client experience across both payroll and merchant services
  • Manage and maintain a book of payroll clients
  • Process and run client payrolls accurately each pay period
  • Troubleshoot payroll-related questions and issues with clients, communicating by phone and email
  • Ensure payrolls are processed timely and in accordance with company procedures
  • Provide exceptional client support and maintain professionalism under all circumstances
