Job Overview: We are looking for a Client Service Associate & Admin in Charlotte, NC to support the office advisors and their clients, while also performing general administrative tasks as needed.

Requirements

  • Associate’s Degree, at a minimum
  • Entry level limited finance industry experience
  • General finance and custodian knowledge
  • Strong sense of professionalism and discretion required
  • Proven analytical and problem-solving skills
  • Working knowledge of planning strategies and solutions
  • Highly proficient in financial planning software and computer software, including the Microsoft Office Suite
  • Excellent written and verbal communication skills

Responsibilities

  • Assist Client Service Specialists (CSS) by corresponding with clients (electronically and verbally), with opening new accounts, processing money movements such as check requests, internal journals, and ACH transfers, liaise with custodians, accountants, and other professionals, etc.
  • Responsible for the accuracy and timeliness of work, including documenting, completing, and tracking completion of client related tasks and properly updating system software with client and other related information.
  • Assist CSS in preparation for client/prospect meetings. This includes putting together folders with agreements, agendas, reports, and any other documents the Advisor may need for their meeting.
  • Organize, scan, and maintain client paperwork.
  • Support Office Administration in greeting clients and visitors, screening and transferring calls.
  • Cover tasks and responsibilities for other CSS/CSA when they are out of the office.
  • Multi-task, organize and complete all other projects as assigned by management, prioritize projects, client needs and office procedures.
  • Screen and direct all inbound phone calls and take messages as needed; greet and accommodate guests
  • Manage all tasks related pertaining to the office environment including tracking/ordering supplies, organizing company documents and maintaining office appearance
  • Assist with planning and coordination of client events
  • Consistently maintain a high standard of customer service.
  • Preserve client confidentiality.
