Qualifications: Education, Training and Experience: Required: High School diploma or GED equivalent Preferred: Licensed Practical Nurse (LPN) OR Dietetic student AND Prior experience working with women, infants and children Knowledge, Skills and Abilities: Knowledge and use of modern office practices and procedures including basic computer skills. Knowledge and capable of dealing with persons of diverse socio-economic, educational, and cultural backgrounds. Knowledge and use of appropriate telephone etiquette. Ability to carry out detailed but basic oral and written instructions. Communicate effectively in written and verbal forms. Certifications and Other Requirements: Required: Criminal background check; employer physical assessment; valid driver’s license & auto liability insurance Recommended: CPR certification, First Aid, Hepatitis B Vaccine Maintain home or message telephone. Physical Requirements: Strength: Lift/carry up to 40 pounds on occasion and 10 pounds frequently. Movement: Routine: Sit, walk, or stand for prolonged periods of time. Lift horizontally and vertically, bend and stoop, push/pull, twist, carry, crouch, squat, kneel, reach above shoulder level. Hear and understand speech at normal room levels and on the telephone. Salary: $15.75 - $17.04 hourly Position Summary: The Women, Infants, and Children (WIC) Clinic Associate provides clerical support services to ensure efficient clinic operations; performs duties of receptionist, scheduling of clients, and maintenance of accurate and current client records.

Responsibilities

  • Serves as receptionist; takes messages, and greets the public in a polite and informative way.
  • Works directly with clients in obtaining information, determining eligibility for service, and schedules appointments and follow-up visits outlined in Agency and State policy and procedures.
  • WIC Clinic Associate – CPA Assistant Level 1 may also, (in the absence of the PH Clinic Associate) coordinate routing of incoming mail; opens only mail which is not specifically addressed to a staff member or are lab results; sorts and delivers mail to appropriate staff person and mails outgoing mail at the end of the day.
  • Completes Outreach for MCH programs per local program procedures to promote services, increase enrollment and maintain program caseload assigned by the state.
  • Completes required client records and maintains accuracy and completeness of written records and electronic databases.
  • Performs keyboard data entry of client information as required.
  • WIC C l i n i c Associate – CPA Assistant Level 1 issues EBT cards and WIC identification cards according to guidelines, policies, and procedures; maintains security of EBT cards at all times and reconciles EBT card inventory logs and clinic data for record maintenance and accountability on a daily basis.
  • Generates and maintains required daily, weekly and monthly reports for the WIC Program, utilizing the state WIC MIS and locally developed report guides. Submit reports to the MCH Program Manager – WIC/Nutrition Coordinator and Family Health Coordinator per locally developed Weekly/Monthly Report Guide.
  • Generates and maintains required daily, weekly and monthly reports for the BBO-C Program, utilizing the state Cornerstone MIS and locally developed report guides. Submit reports to the MCH Program Manager – WIC/Nutrition Coordinator and Family Health Coordinator per locally developed Weekly/Monthly Report Guide.
  • Maintains filing system of required documentation, daily logs, schedules and reports accurately and in a timely manner.
  • Tracks office / program supplies and restocks supply cabinets as necessary.
  • Maintain adequate supply levels as established by the MCH Program Manager - WIC / Nutrition Coordinator. Review levels periodically to determine appropriateness of supply inventory.
  • Route incoming clinic calls to the appropriate individual.
  • Be familiar and comply with the requirements of the policies and procedures of WIC and BBO-C State Program Manuals and local policies, as appropriate.
  • Maintain privacy, security and confidentiality of all client records and information.
  • Maintain client/agency confidentiality and make inter/intra agency referrals, as appropriate.
  • Seek input from CPA/RN-FHA/FHA and/or Supervisor, when dealing with unusual situations or difficult clients.
  • Use only approved abbreviations, as listed in the WIC Nutrition Practice for documenting in I-WIC, Cornerstone system, and State/Local policy manuals.
  • Assist nursing and other clinic staff in performance of their duties as needed.
  • Complies with faculty hours of operation, including early/late WIC clinic days.
  • Participates in appropriate staff and agency meetings, including but not limited to monthly MCH/WIC program staff meetings.
  • May be temporarily assigned to work at other clinic sites as needed.
  • Be familiar and comply with the requirements of the policies and procedures adopted by Southern Seven Health Department as required by the Health Insurance Portability and Accountability Act (HIPAA) of 1996.
  • All other duties necessary to meet requirements of Public Health and Agency programs.
