About The Position

This dual reporting position supports the Clinic Administrator for all Clinic related initiatives and the Executive Director of Clinical Operations for all Laboratory initiatives. These initiatives include operational, safety and quality improvements. Provides operational and functional support for the front desk, inclusive of but not limited to, patient check-in processes, authorizations and referral specialists.  Manage schedules for staff, volunteers and students. In addition to the front office, the Clinic & Lab Manager is responsible for overseeing the efficient functions of the back office, referrals, authorizations and medical records to ensure smooth patient flow. Functions as a liaison between the front office and back office, monitoring and implementing processes for best practices. Instructs staff and promotes an excellent customer service atmosphere for patients. This is a working manager position, requiring the knowledge and applicability of the work duties. This position is responsible for the supervision of personnel as well as interviewing and selection of staff, corrective action and performance management of staff. In conjunction with the Executive Director of Clinical operations this position will be responsible for ensuring that all Laboratory functions are in compliance with Federal and State Law as well as processes and procedures set for by UNLV Health contracts. This position is responsible to coach, mentor, train and monitor staff to ensure accurate and complete information is gathered from patients and physicians and processed to enable billing functions to be accurate.

Requirements

  • Associate’s degree required. Bachelor’s degree in health related field preferred.
  • 2-3 years’ supervisory experience in a medical office.
  • 2-3 years’ customer service experience.
  • Demonstrated ability to use electronic medical record systems. Experience with EPIC is a plus.
  • Demonstrated ability to read, write and speak English. Bilingual Spanish is a plus.
  • Demonstrated ability to use a computer with Word and Excel software ability.
  • Valid and current driver’s license.
  • Flexibility with work assignments and hours.
  • Knowledge of customer service concepts.
  • Knowledge of business methods including productivity, workload analysis, and scheduling.
  • Knowledge of cash management principles and procedures.
  • Knowledge of medical terminology, medical records and consent laws.
  • Knowledge of the insurance industry and billing practices.
  • Math skills to manage cash, change, checks and credit card transactions.
  • Skills for management of personnel resources – coaching and directing people as they work.
  • Skills for using the computer and software: Word, Excel and Outlook.
  • Skills to promote teamwork and excellent customer service practices.
  • Ability to communicate effectively.

Nice To Haves

  • MA or LPN not required but a plus.
  • Experience with EPIC is a plus.

Responsibilities

  • Supervise Back Office, Medical Records and Referral and Authorization Specialist.
  • Performs staff evaluations and provides input regarding performance feedback.
  • Manages staff schedules, time card processing and time correction.
  • Monitors check-in and checkout functions to ensure efficiency and implements process changes in coordination with Agency Director to achieve company goals, objectives, and mission.
  • Serves as mentor and role model to employees, demonstrates fair and equitable employment practices.
  • Participates in the recruitment process, screening, interviewing and recommending applicants for hire for the best possible fit.
  • Manage and maintain telehealth programs and equipment.
  • Monitors credentialing process for providers.
  • Supports staff in daily functions such as check-in, check-out, and medical assistant coverage.
  • Ensures cash handling processes are accurately followed (i.e. batch closing, daily deposits).
  • Performs some administrative office functions such as composing and distributing routine correspondence, including letters, e-mail, forms and faxes, answers, screens and directs telephone calls.
  • Assists with special projects.
  • Abides by Compliance and HIPPA guidelines, ensuring maintenance of patient privacy and protection of patient health information/confidential data.
  • Monitors Patient, Referral, Claim Edit and Charge Review work queues for the clinic.
  • Provides EMR elbow support.
  • Functions effectively in a matrix management environment.
  • Completes any duties and special assignments as requested.
  • Responsible for the lab oversight of the Practice Plan clinics
  • Oversight of documented lab training/competency for each test for each clinic within the practice plan
  • Ensures all testing is completed according to manufacturer’s instructions
  • Works in collaboration with Executive Director of Clinical Operations to write policies/ procedures/competencies for labs being performed
  • Direct oversight of controls used for validation/verification. Audits in place for the practice plan to ensure that quality control reagents are available on site when QC is required with documentation for validity
  • Process in place for temperature monitoring and submission of required testing for all lab refrigerators and freezers
  • Oversight of the following safety controls that must be in place anywhere lab testing is being performed:
  • Written policy prohibiting eating, drinking, smoking, application of cosmetics and storage of food in lab
  • Written policy prohibits recapping, bending, breaking, or reuse of needles and syringes
  • Sharps disposed of in a puncture proof container
  • Proper disposal of biohazardous waste
  • Eye wash available near testing area
  • Adequate ventilation
  • Gloves available
  • Proper disinfection of lab area
  • Temperatures controlled
  • Safe injection practice policy
  • Communicable disease reporting system
  • Specimen labeling policy
  • Implementation of improvement project to ensure that testing supplies including reagents are not expired
  • Ensures a spreadsheet is kept up to date with all Medical Assistant lab certifications are up to date and to assist clinics with getting new associates certified to perform lab testing
  • CLIA and Lab certification are up to date and displayed in each clinic
  • Direct oversight to ensure that UNLV Health Practice Plan is survey ready by performing monthly audits
  • Submits paperwork and CLIA Lab Fees timely to avoid penalties
  • Oversight of the Vaccine for Children (VFC) programs for Family Medicine and Pediatrics (training, competencies, temp submission)
  • Certification of freezer/fridge units utilized to store vaccines
