About The Position

The Clinic Manager provides operational and systems leadership for Oakwood’s Healthy Living & Resilience Clinics. This role ensures high-functioning clinic operations, interdisciplinary coordination, regulatory compliance, workflow efficiency, and alignment with organizational growth goals. The Clinic Manager partners closely with the Executive Leadership Team to support financial sustainability, diversified revenue strategies, optimized payer pathways, and operational scalability. While not directly responsible for billing execution, this role ensures clinic systems, documentation standards, and workflows support compliant reimbursement and strong revenue cycle performance. This is a strategic clinic operations role designed to strengthen infrastructure, expand referral pipelines, and support the continued growth of Oakwood’s innovative clinic model.

Requirements

  • Active, unrestricted Arizona clinical license in a relevant discipline (e.g., Occupational Therapy, Physical Therapy, Nursing, Social Work, Counseling, or related healthcare field).
  • Bachelor’s degree in Healthcare Administration, Business, Nursing, Rehabilitation Sciences, or related field (or equivalent experience).
  • 5+ years of healthcare management or clinic operations experience.
  • Management experience with knowledge of HR practices.
  • Working knowledge of:
  • Clinical CPT, ICD, and HCPCS coding
  • Medical terminology
  • Insurance billing processes
  • Experience managing clinic scheduling and EHR systems.
  • Knowledge of healthcare compliance and regulatory standards.

Responsibilities

  • Oversee day-to-day operations of OCC's clinics
  • Ensure effective clinical and administrative scheduling and capacity management.
  • Evaluate and optimize clinic workflows to improve efficiency, coordination, and patient experience.
  • Review EHR workflows and work queues to ensure timely documentation and task completion.
  • Develop scalable systems that support service line growth and operational consistency.
  • Collaborate with Executive Leadership and the billing team to support budgetary and financial performance goals.
  • Strengthen front-end operational processes that impact billing accuracy and collections.
  • Ensure documentation standards support compliant CPT, ICD, and HCPCS coding.
  • Identify operational efficiencies that enhance reimbursement and reduce revenue leakage.
  • Support diversified revenue stream development and optimized payer pathways.
  • Monitor clinic-level performance indicators tied to contract compliance and sustainability.
  • Assist with development and implementation of policies and procedures supporting clinical care and operational integrity.
  • Ensure adherence to healthcare regulations, payer requirements, and contractual obligations.
  • Monitor clinical quality indicators and patient satisfaction metrics.
  • Lead process improvement initiatives to enhance quality, safety, and efficiency.
  • Support audit readiness and reporting requirements.
  • Lead staff performance evaluations and professional development initiatives.
  • Ensure adherence to HR policies and best practices.
  • Foster accountability, collaboration, and mission-driven service delivery.
  • Support ongoing staff education and workflow competency.
  • Represent Oakwood Creative Care at community events, professional forums, and networking engagements as a subject matter expert in dementia-informed care and resilience programming.
  • Deliver educational presentations to healthcare professionals, community groups, and partner organizations.
  • Build and strengthen referral pipelines through strategic relationship development with physicians, hospitals, senior living communities, case managers, therapists, and other healthcare professionals.
  • Cultivate long-term professional partnerships that enhance coordinated care and service utilization.
  • Collaborate with marketing and executive leadership to align outreach efforts with growth and enrollment goals.
  • Provide consultation and operational support to families navigating clinic services.
  • Maintain professional rapport with staff, providers, community partners, and the public.
  • Serve as a liaison between clinical providers, support teams, and leadership.
  • Depending on licensure and credentials, the Clinic Manager may provide direct patient services within their professional scope (e.g., Occupational Therapy, Physical Therapy, Counseling, etc.).
  • Deliver direct clinical services consistent with licensure and organizational standards.
  • Maintain documentation in compliance with regulatory and payer requirements.
  • Model best practices in dementia-informed, person-centered care.
  • Support interdisciplinary collaboration to ensure coordinated service delivery.
  • Balance clinical service provision with leadership and operational responsibilities as determined by clinic needs.
