We're seeking a dedicated and proactive Clinic Receptionist to be the welcoming face and organizational anchor of our busy clinic. Under the guidance of our Clinic Manager/Administrator, you'll play a vital role in ensuring a smooth and efficient experience for our patients from their first call to their follow-up visit. This is more than just an administrative role; it's an opportunity to be at the heart of our clinic's operations, providing essential support and creating a positive, comforting atmosphere for everyone who walks through our doors. What You'll Do: Be the First Impression: Warmly greet and register patients, ensuring a seamless and efficient check-in process while adhering to all clinic and regulatory policies. Master of Communication: Answer and skillfully route incoming phone calls, acting as a vital link between patients and our clinical team. Scheduling Pro: Expertly schedule, confirm, and manage patient appointments according to office guidelines, optimizing clinic flow. Information Guardian: Accurately collect, verify, and update essential patient demographic, insurance, and payment information, including collecting co-pays and deductible amounts. Digital Dynamo: Efficiently scan and upload patient-related documents (IDs, referrals, insurance cards) into our electronic medical record system. Preparation Perfection: Prepare patient charts and ensure all necessary information is complete and ready for appointments. Smooth Departures: Facilitate patient check-out, processing payments and scheduling all necessary follow-up appointments. Organized Administrator: Assist with record filing, retrieval, and maintaining organized registration documentation within our electronic medical records. Logistics Llama: Manage the flow of interdepartmental, incoming, and outgoing mail. Supply Savvy: Support office supply ordering and inventory, ensuring we always have what we need. Patient Advocate: Proactively notify clinical staff of patient arrivals and keep patients informed of any appointment delays, ensuring a positive experience. Financial Finesse: Accurately reconcile cash drawers at the end of each day. Team Player: Provide general administrative support and assist with other duties as needed to support our clinic's success.

Requirements

  • Highscool degree or equivalent
  • One year of customer service experience, clerical, or business-related experience.
