About The Position

This position works within a clinical support staff pool and plays a vital role in the agency in facilitating office operations, and effective scheduling and organizational support services of MiSide programs. The Clinical Support Staff is responsible for planning, coordinating and organizing the schedules of individuals, teams, or resources throughout the organization. The person in the position must be flexible and willing to assist staff, managers, and consumers of the agency in a respectful, professional, and courteous manner. This position operates under the general guidance and supervision of the Clinical Support Staff Manager and collaborates closely with the Managers and Directors in their respective locations.

Requirements

  • EDUCATION: Possession of a High School Diploma or GED
  • EXPERIENCE: Must be a parent/primary caregiver of a child with a Mental Health Challenge or Intellectual Developmental Disability (I/DD)
  • REQUIRED CERTIFICATIONS & LICENSURES: Must complete the Wayne County System of Care (local) parent training course
  • Must attend a five (5) day training in Lansing with ACMH/MDHHS, complete the 10-month certifying process, attain certificate, and maintain annual re-certification training requirements
  • Must possess a valid driver’s license, a driving record acceptable to MiSide's insurance carrier, and access to a private vehicle for day-to-day job performance

Responsibilities

  • Customer Service Expectation: Responsible for providing excellent customer service
  • Assist clients, stakeholders, vendors, staff and leadership with requests in a courteous and efficient manner
  • Responsible for routing calls to the appropriate personnel
  • Ability to work as a team player within a secretarial pool
  • Must meet agency performance/productivity standards
  • Scheduling and Monitoring: Perform insurance verification and updating demographics as necessary
  • Plan and manage daily, weekly, and monthly prescriber schedules
  • Use the agency EMR to schedule, coordinate, and confirm consumer appointments
  • Communicate and coordinate prescriber schedule changes, ensure calendars are set up correctly
  • Backfill cancelled appointments
  • Generate reports: monitor vacant slots, no-shows by program/prescriber
  • Work with the Medical Director to assess prescriber needs
  • Daily review of the prescriber’s caseloads and schedule those not seen in 59 days.
  • Manage the appointment scheduling queues
  • Reschedules for missed appointments
  • Complete annual updates (consent forms)
  • Record Keeping: Responsible for ensuring filing and scanning is completed in an efficient manner for the clinical staff.
  • Responsible for managing incoming fax requests
  • Ability to effectively utilize electronic record system
  • Audits and Special Projects: Assist in preparation of, compilation of, correspondence and coordination required for audits and special projects.
  • Other tasks and responsibilities, as assigned
  • Participate in administrative staff meetings, agency committees, and other projects as assigned
  • Adhere to MiSide policies and procedures
  • Adhere to MiSide code of ethics, and comply with local, state and federal laws
