About The Position

Florida Atlantic University is seeking a Collection Management Assistant for University Libraries - Boca Raton, FL. The Collection Management Assistant for the Collection Management department supports the operational and data-focused activities related to the acquisition, access, maintenance, and assessment of the Libraries’ general electronic and print collections. Responsible for preparing summary reports for librarian-led collection evaluation, organizing usage and acquisitions data, and contributing to electronic resource activation and access. Assists with collection lifecycle projects, maintains internal documentation and workflow records, and collaborates with relevant library units to support ongoing collection initiatives.

Requirements

  • High school diploma and four years of appropriate experience required.

Responsibilities

  • Order, receive, activate, and/or process electronic and physical monograph acquisitions, and ensure timely and accurate access points.
  • Monitor DDA (Demand-Driven Acquisitions) activity for e-books and streaming media, including tracking trends and spending levels.
  • Compile and organize acquisitions and usage data and prepare summary reports to support librarian-led collection analyses and evaluations.
  • Verify and maintain electronic resource access, resolving routine issues and escalating complex problems as appropriate.
  • Maintain the collections' wish lists and assist librarians with obtaining price quotes and setting up trials with vendors.
  • Maintain internal documentation, procedures, and collection management workflow records.
  • Run analytics reports for collections lifecycle and maintenance projects, and coordinate with relevant library units in reviewing the data.
  • Assist with collection maintenance initiatives, including physical movement of materials, pushing loaded carts, and updating tracking tools as needed.
  • Respond to donation inquiries according to established collection management guidelines.
  • Provide first-level support for electronic resource access inquiries from users on an as-needed basis.
  • Perform other job-related duties as assigned.
