About The Position

The Condominium Accountant is responsible for managing the financial operations of multiple condominium and homeowners’ associations. This role ensures accurate financial reporting, compliance with association governing documents, and adherence to accounting standards while supporting property managers and board members with financial information and analysis.

Requirements

  • Bachelor’s degree in accounting or finance preferred.
  • 2–5 years of accounting experience (property management or HOA accounting preferred).
  • General ledger accounting
  • Bank reconciliations
  • Financial statement preparation
  • Experience with property management accounting software, such as Enumerate (formerly) TOPS Software, QuickBooks
  • Advanced Proficiency in Microsoft Excel
  • Strong analytical and problem-solving skills
  • Attention to detail
  • Ability to manage multiple associations simultaneously
  • Strong communication skills with boards and managers
  • Time management and deadline focus
  • Ability to efficiently and accurately manage a workload supporting 8–20 associations.
  • High level of attention to detail and accuracy
  • Ability to sit at a desk and work at a computer for extended periods during the workday.
  • Ability to read, write, and communicate effectively in English.
  • Frequent communication with employees, vendors, and managers via phone, email, and in person.
  • Occasionally required to stoop, kneel, or crouch.
  • Regular use of hands and arms to reach, grasp, and manipulate office equipment and documents.

Responsibilities

  • Prepare monthly financial statements for assigned condominium and HOA associations, including but not limited to, Balance Sheet, Income Statement, General Ledger, Bank Reconciliation.
  • Maintain accurate financial records for each association
  • Process and review vendor invoices for payment. Ensure invoices are properly approved according to association procedures.
  • Manage check runs and electronic payments.
  • Record and reconcile owner assessment payments.
  • Monitor delinquent accounts and coordinate with collections/legal when necessary.
  • Apply late fees and interest according to association policies.
  • Perform monthly bank reconciliations for operating and reserve accounts.
  • Track reserve investments and transfers.
  • Investigate and resolve discrepancies.
  • Assist property managers and boards with annual budget preparation. Provide financial analysis and recommendations.
  • Prepare year-end financial packages for auditors or CPAs. Maintain supporting documentation for audits and reviews.
  • Work with property managers and board members to answer financial questions.
  • Attend board meetings when financial matters are discussed (if required). Provide financial insight into operating costs, reserves, and projects.
