It is an exciting and empowering time to work at NFPA NFPA is looking to add a Conference Center Manager to the Membership Experience team! The Conference Center Manager contributes to NFPA’s Mission, Vision, and Strategic initiatives by planning and executing all aspects of NFPA meetings including: contracting of outside venues, food & beverage requests, the scheduling of in- house rooms along with coordination of resources required for room setup/breakdown, transportation and housing. In addition, manages the information flow and maintenance of meeting specific information into internal systems at all stages of the planning, execution and post meeting review process and financial reconciliation phases.

Requirements

  • 3 to 5 years of related experience
  • Bachelor’s Degree / Certified Meeting Planner
  • Professional knowledge of event and meeting planning processes and related terminology;
  • Good project management, planning and organizing;
  • Strong attention to detail;
  • Strong interpersonal skills and ability to collaborate with and influence others;
  • Strong customer relations skills;
  • Able to work independently and collaboratively when developing complex meeting plans.
  • Able to work independently and collaboratively when resolving complex problems and issues.
  • Ability to work under pressure and in an environment with continually changing priorities;
  • Excellent written and verbal communication skills;
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook);
  • Ability to see one’s role as part of the larger organization to allow for understanding and appreciation of larger NFPA organizational goals, roles and processes.
  • Based in Quincy, MA
  • Travel is required 20% of the time
  • Normal office working conditions
  • The physical activities required of this position include: sitting, particularly for sustained periods of time; talking; hearing; repetitive motion; standing for long periods.
  • Work is considered sedentary
  • Close visual acuity is required
  • Schedule flexibility necessary to meet any early morning or occasional evening Conference Center needs.

Responsibilities

  • Manages Service Level Standards and expectations all internal stakeholders Is able to lead cross functional teams in the planning and execution of NFPA meeting events
  • Manages required collection and reporting from NFPA Meetings and financial systems.
  • Develops and maintains meeting specification documents for all internal meetings.
  • Manages Food & Beverage program with internal food vendor for internal meetings
  • Manages resource requirements/scheduling with internal staff to determine and schedule meeting room setup and IT support needs
  • Ensures proper training for A/V equipment for meetings organizers using the NFPA Conference Center
  • Develops/ensures meeting communications and related meetings materials are prepared and executed for all meetings, as appropriate, to include: email invitations/confirmations, name badges, tents, room lists, etc
  • Manages housing and transportation programs for internal meetings, as required
  • Coordinates with airlines providing meeting dates and locations to ensure negotiated travel discounts are applied.
  • Manages post meeting financial reconciliations for each event.
  • Assists onsite at NFPA Meetings, Events and Conferences, as requested
  • Other duties, as assigned
