About The Position

As a Central Reservations Conference Lodging Coordinator, you will be primarily responsible for handling the lodging and transportation aspects of conference and ski groups booked by the Group Sales or Ski Tour/Travel departments, as outlined below. The secondary job function is to assist Call Center with inbound transient calls. Accept inbound calls from guest inquiries for conference lodging, ground transportation, and vacation specials. Process reservations for Snowbird lodges, give information by telephone concerning rates, availability, resort facilities, etc. This is a year-round full-time position at Cottonwood Corporate Center as a Central Reservations Conference Lodging Coordinator you will be primarily responsible for handling the lodging and transportation aspects of conference and ski groups booked by the Group Sales or Ski Tour/Travel departments, as outlined below. Requirements

  • High School Diploma or equivalent required.
  • 1-2 years of relevant work experience with demonstrated competence.
  • Ability to multitask and perform various roles, such as a reservation's sales agent.
  • Proficiency in the SMS/Host system and basic Microsoft Office skills.
  • Ability to operate a computer and 10-key calculator.
  • Exceptional organizational skills, with the ability to prioritize and manage multiple tasks effectively.
  • Ability to meet deadlines and complete assignments in a timely manner.
  • Strong problem-solving, troubleshooting, and decision-making skills.
  • Self-motivated and able to work independently.
  • Must demonstrate sound judgment within policy guidelines and without direct supervisory approval.
  • Ability to handle guest personal information, including credit card details, in compliance with PCI DSS regulations (privacy, confidentiality, storage, and disposal).
  • Understanding of PCI DSS for handling sensitive information securely.
  • and have the ability to travel to and from the resort for meetings

Nice To Haves

  • College degree in a related field preferred; however, related work experience may substitute for education.

Responsibilities

  • Ensure the meeting contact understands all details of contracts related to lodging reservations, transportation, porterage, deposits, payments, cancellation policies, and cutoff dates.
  • Collaborate with vendors and internal teams to achieve the best outcomes and upsell services where possible.
  • Coordinate with internal customers to guarantee seamless management of group and individual lodging details.
  • Build rates and packages tailored for individual groups.
  • Manage room blocks daily and set up group rates within the Host System.
  • Revise reservation records and update information to ensure accuracy.
  • Serve as backup to Lodging Sales Agents during busy periods or when staffing is short. As part of this, assist with transient calls, reservations, and guest inquiries regarding available lodging options, rates, and resort facilities.
  • Handle additional projects or duties as necessary to meet overall departmental goals.
  • Travel occasionally to/from the resort as required.
