About The Position

This position serves as ambassador for our exceptional offerings as Conference Services Manager.  A liaison between multiple departments to meet the needs and exceed the expectations of our clients. Organizes the room and catering detailing, group resume of all in-house groups. The Conference Service Manager is in charge of participating in all activities to include, handling all sales inquiries, preparing proposals, putting together BEOs, floor plans and work as the main point of contact for clients and all hotel’s departments.

Requirements

  • 2 years Previous Conference Services & Leadership experience within luxury resort market and similar role
  • Computer efficiency: Microsoft programs / Delphi / Opera.  Understanding of PMS systems (Opera).
  • Complete knowledge of meeting spaces, capacities and specifications, menus, budget and minimums.
  • Must have effective communication skills both verbal and written.
  • Must understand yield management, meeting revenue goals and minimizing expenses.
  • Must exhibit an approachable, authentic and engaging demeanor, setting an example for all Team Members
  • Exhibit a professional attitude, diplomacy and an ability to handle difficult situations.
  • Demonstrate an exceptional environment of sincerity, warmth and fun for team members and guests.
  • The ability to interact with guests, providing full knowledge and assistance for maximum guest usage in a friendly but unobtrusive manner.
  • Highly responsible, reliable and ethical. A reputation for honesty and integrity.
  • Results oriented and highly motivated self-starter.
  • Ability to focus attention on guest needs, remaining calm and courteous at all times.
  • Ability to work days, nights and weekend; when necessary

Responsibilities

  • Obtains/confirms all event-related information (to include, but not limited to meeting specifications, audio visual, rooming lists, technical needs, exhibit needs, food and beverage requirements, etc) with client, organize/distribute group resumes, conference agendas, event orders, floorplans, etc to all operating partners accurately, and in a timely manner.
  • Drives function space optimization/maximization, to ensure best utilization of space for guest experience and financial performance of department.
  • Yields sleeping room block and function space, ensuring optimization of financial return/performance.
  • Initiates/follows up on billing procedures, ensuring deposits and/or credit applications are received within acceptable timeframes.
  • Conducts pre-conference/event meetings with clients and pertinent departments to confirm all relevant details are communicated.
  • Ensures guest/group experience while onsite, through personal interaction and attendance at functions throughout the stay. Must be flexible to accommodate irregular and/or extended hours.
  • Conducts any/all site inspections as required. Able to handle inquiries.
  • Attends necessary meetings within hotel that affect/are affected by the Catering, Conference Services &/or Events department.
  • Establishes and maintains rapport with clients, prior to, during and post conference, exceeding their expectations and encouraging repeat business.
  • Plays active role in local community through associations, memberships and involvement. It’s an ambassador of the hotel within the local community.
