Requirements

  • 3-5 years of contract or project management experience
  • 3-5 years of general accounting experience
  • Bachelor’s degree in related field
  • Highly organized, self-motivated, proactive problem-solving approach
  • Excellent oral and written communication skills
  • Ability to provide direction to field partners on “next steps” to complete projects
  • Exceptional skills in Microsoft Office
  • Ability to handle multiple priorities and meet required deadlines
  • Ability to work in a very fast paced environment and provide a high level of attention to detail

Nice To Haves

  • Experience in retail construction is a plus

Responsibilities

  • Set up and Manage Utilities and Trash
  • Time Sensitive: Establish water/sewer, gas, and electric accounts for all new/relocated stores
  • Contact Property Manager to obtain utility data, confirm meter numbers, acquire photos and
  • billings
  • Complete and submit applications/paperwork, efficiently and accurately
  • Manage all documentation and track utility transfer progress
  • Work with 3rd party (ENGIE) to resolve outstanding items
  • Confirm how trash is to be handled at each location
  • Order dumpsters and confirm delivery. Diligently resolve delays/issues
  • Budgeting and Forecasting
  • Manage and maintain construction cost tracking reports
  • Partner with finance team regarding month’s end costs and determine accruals
  • Ensure Pending Approval Log, Accrual Report, and other cost-reporting spreadsheets are kept up to date
  • Admin Support within Project Management System - Sitefolio
  • Time Sensitive: Compile and track all vendor and GC contracts and allocations (new stores, remodels, special projects, etc), ensure all contracts are awarded prior to Construction Start date
  • Process GC bids via DocuSign, ensure AIA contracts and Sales Tax forms are received prior to Construction Start date
  • Review/approve/endorse contracts, change orders, invoices, daily
  • Generate weekly payables report (“flat file”) – resolve incidents (ie “kickouts”)
  • Collect Tenant Allowances – currently outsourced to third party
  • Work closely with Manager of Construction Administration and TA Team to review lease for Tenant Allowance requirements
  • Collect General Contractor and vendor lien waivers for projects
  • Other Administrative Duties
  • Set up new vendors/GCs in payables system
  • Schedule walk-through visits and packages
  • Attend new store calls and work closely with CPM/Directors to troubleshoot/resolve issues
  • Track inventory of Cores/Keys
  • Research aging reports
  • Gather information required for Tax audits
  • Support Construction Admin Business License team as needed
  • Process chargebacks and ensure adequate follow up until receipt of funds is collected
  • Respond to all inquiries in a timely manner
  • Provide support to internal partners with ad-hoc requests, as needed
  • Refer to “Construction Admin checklist” for additional responsibilities
