About The Position

Job Summary: The Construction Project Assistant provides organizational, administrative, and operational support to the project management team. This role is responsible for maintaining project documentation systems, coordinating communication between project stakeholders, assisting with financial and contractual documentation, and helping ensure projects remain organized and on schedule. This position supports multiple projects simultaneously and plays a key role in maintaining consistency in project documentation, tracking deadlines, and assisting the project management team with day-to-day operational tasks.

Requirements

  • Strong proficiency in Microsoft Office suite.
  • Ability to learn and utilize construction management software including Accubid and Autodesk platforms.
  • Strong organizational and documentation management skills.
  • Strong analytical thinking and the ability to solve problems independently.
  • Ability to identify issues and help keep projects and documentation processes on track.
  • Excellent organizational and time-management abilities.
  • Ability to communicate and coordinate effectively with project managers, clients, subcontractors, and internal team members.
  • Ability to manage multiple projects and priorities simultaneously.

Nice To Haves

  • Prior experience in construction administration, project coordination, or construction support roles preferred but not required.
  • Electrical construction industry experience is preferred but not required.

Responsibilities

  • Maintain organized electronic and physical project file structures, documentation systems, and project logs.
  • Assist in maintaining consistent documentation standards across all active projects.
  • Track project documentation deadlines and assist the project management team in keeping documentation current.
  • Support project closeout documentation and long-term records management.
  • Coordinate communication between project managers, clients, subcontractors, and general contractors as needed.
  • Assist the project management team with project documentation flow, scheduling coordination, and task tracking.
  • Organize and submit RFIs, submittals, and related project documentation.
  • Compile and submit finalized project estimates prepared by project managers.
  • Assist with project financial documentation, including contract documentation and purchase order tracking.
  • Ensure purchase orders, change order documentation, and other project financial records are properly organized and maintained.
  • Develop and maintain a centralized database for company and employee licensing requirements across operating jurisdictions.
  • Track licensing requirements for states and regions where the company performs work.
  • Maintain records ensuring that company licensing, employee certifications, and regulatory requirements remain compliant for travel and out-of-state work.
  • Assist in organizing project drawings, specifications, and related documentation.
  • Develop working familiarity with construction drawings and documentation formats to support project documentation management.
  • Provide administrative and operational support to the project management staff as needed.
  • Assist with maintaining standardized project documentation procedures.
