We are seeking a Continuing Education Operations Specialist to support the delivery and administration of our CE programs. This role owns critical operational workflows within our learning platforms, serves as the frontline expert for learner support, and partners cross-functionally to ensure CE activities are delivered accurately, reliably, and at scale. The ideal candidate is a power user of learning management systems who thrives on problem-solving and continuously looks for ways to improve the credit and certificate experience.

Requirements

  • Bachelor’s degree or equivalent experience.
  • 2+ years supporting operational workflows in a digital, education, product, or customer service environment.
  • Demonstrated proficiency with learning management systems (power user or administrator experience strongly preferred).
  • Strong attention to detail and ability to manage complex processes with accuracy.
  • Proven ability to troubleshoot across systems and resolve issues independently.
  • Highly organized with the ability to manage competing priorities in a fast-paced environment.
  • Clear, professional written and verbal communication skills.
  • Collaborative mindset with experience working cross-functionally.
  • Proficiency in AI-powered tools and platforms (e.g., ChatGPT, Jasper, Midjourney, Copilot); ability to leverage AI to enhance content creation, campaign optimization, and workflow efficiency.

Nice To Haves

  • Background in continuing education programs or credit-awarding workflows.
  • Familiarity with accreditation bodies (ACCME, ANCC, ACPE, or similar).
  • Experience in healthcare, medical education, or life sciences.
  • Experience with CRM or ticketing systems (Zendesk, Salesforce, etc.).
  • Interest in automation, AI-assisted tools, or process improvement initiatives.
  • Comfort with reporting and data analysis tools.

Responsibilities

  • Support CE Platform Operations · Serve as the internal subject matter expert and power user across all LMS platforms.
  • Own and manage complex, multi-step workflows to ensure CE activities are delivered accurately and at scale.
  • Maintain expert-level knowledge of LMS capabilities, features, and limitations.
  • Stay current on platform updates and best practices to maximize technology performance.
  • Create and maintain internal documentation, FAQs, and training materials related to LMS functionality and CE processes.
  • Deliver Exceptional Customer Support · Serve as the frontline contact for CE-related inquiries, providing prompt, professional support.
  • Troubleshoot and resolve issues related to course access, credit claiming, certificate generation, and account management.
  • Identify root causes of system issues and implement lasting solutions.
  • Manage and track support tickets to ensure timely resolution and a positive learner experience.
  • Communicate clearly and empathetically with healthcare professionals and learners.
  • Drive Process Improvement & Innovation · Identify and recommend enhancements to credit generation and certificate workflows.
  • Analyze recurring issues and user feedback to implement scalable solutions.
  • Explore automation and AI-assisted support opportunities to improve efficiency.
  • Partner cross-functionally with product, technology, and content teams to test and implement platform enhancements.
  • Contribute to strategic discussions around LMS optimization and emerging CE technology trends.
  • Reporting & Quality Assurance · Track and report on customer service metrics, including response times and resolution rates.
  • Conduct audits to ensure CE credit and certificate accuracy and compliance.
  • Assist in preparing internal reports on platform performance and user engagement.
