About The Position

GENERAL DESCRIPTION Under the guidance of the Senior Contract Analyst, the Contract Analyst is responsible for maintaining an effective contract process. Guides users and documents through the contract process, reviewing details and internal routing forms, accurately notating pertinent data to store in library. Uploads documents and communicates the final status of contracts to collaborating departments. The Contract Analyst assists in the preparation and revision of various other contract documents. Assists in contract documentation and document maintenance to demonstrate compliance with CMS, OIG, and other applicable federal and state regulations. Responsible for day-to-day contract operations in the absence of the Senior Contract Analyst. The Contract Analyst assists in retrieving the organization’s various licenses, certifications and other vital documents, storing documents in the repository with a reminder system to ensure centralization of the documents’ location, providing timely information for renewals. This position serves as an Intake Resource for compliance concerns, preparing reports as appropriate for submission to others, pursuant to chain of command. This position requires a high degree of responsibility regarding confidentiality and the handling of sensitive documents and information, as well as critical-thinking skills. This position supports GRMC contract owners in accomplishing various tasks and responsibilities related to contracts and contract compliance.

Requirements

  • Some college required, Baccalaureate Degree preferred or the equivalent combination of education and experience
  • Two or more years of related compliance or contract experience and/or training preferred
  • Four or more years of hospital software solution / work flow process experience and/or training preferred
  • Compliance, contract, legal, risk management, or regulatory background, training and/or experience preferred.
  • Must have excellent Microsoft Skills
  • Must have demonstrated ability for critical thinking and analysis

Nice To Haves

  • Knowledge of hospital operations preferred
  • Experience with legal environments preferred
  • Experience with contract review/management preferred
  • Compliance experience preferred

Responsibilities

  • Facilitates the contract management and approval process from pre-contract through post-signature phases.
  • Monitors status and facilitates progression and completion of contracts in the review process, including tracking and communicating document status.
  • Actively provides accurate record keeping and change management of business and physician & advanced practitioner contracts.
  • Ensures accurate and timely data entry of contract specifications and terms into the database.
  • Responsible for maintaining and updating documents in the GRMC contract database.
  • Assists in the development and maintenance of processes that support critical contract events (e.g., renewals, termination, and due dates), including related document preparation and routing.
  • Assists with storing and retrieving GRMC licenses, certifications, and other vital documents, using a reminder system to ensure centralization of the documents’ location and provide timely information for renewals.
  • Maintains an electronic folder of contract templates with up-to-date version control.
  • Assists in ensuring the language and terms of various contract templates and internal forms are kept current
  • Assists in developing and maintaining weekly, monthly, and quarterly reports on the status of business and provider contracts.
  • Assists as needed with the revision and implementation of GRMC’s Contract Policy and Processes and documents change management in a timely and accurate manner.
  • Assists in identifying and obtaining the resources necessary for implementing contract process, education, and communication within the context of GRMC’s organizational constraints.
  • Knowledge of the relevant state and federal laws, rules, and regulations, including but not limited to HIPAA, EMTALA, The Anti-Kick Back Statute, Stark, Deficit Reduction Act, New Mexico Review Organization Immunity Act, New Mexico Procurement Code, Department of Health and Human Services Requirements, including OIG requirements and others, as needed.
  • Responsible for establishing and maintaining productive and efficient working relationships with the GRMC Departments of Quality / Regulatory, Data Management, Health Information Management (HIM), Risk Management, Finance, Medical Staff Services, Human Resources and Information Systems. Direct interfaces with Accounts Payable and Materials Management Departments and Project Steering Committee. Works cooperatively with and assists these areas as directed by the Senior Contract Analyst to address CMS, HIPAA, OIG, and other regulatory or legal matters that overlap between those departments regarding contracts and the Contract department.
  • At all times, maintain the strictest confidentiality regarding all Compliance, Legal, Risk Management, and Human Resource matters and disclose confidential information only at the direction of the Chief Executive Officer, Chief Financial Officer, Compliance Officer, Supply Chain Director, and by relevant law.
  • Performs other duties as assigned.
