About The Position

We are NBCUniversal's enterprise-wide Standards department. Our team develops and implements content policies that center our viewers and excite our collaborators, including creators, advertisers, and brand partners, to deliver the best experience for all audiences. We support innovative advertising and culture-defining entertainment programs while ensuring that NBCUniversal’s advertising and program content reflects the sensibilities of our company and respects our varied community of fans. We are seeking a capable, highly motivated Coordinator. You will play a cross-functional role that requires extensive collaboration with teams across NBCUniversal as well as external partners. As a Coordinator for the Standards department, you will support the East Coast team across a wide range of responsibilities, serve as a key liaison in interactions with internal divisions and external organizations, and provide comprehensive administrative and operational support to the SVP, Standards. You will be a tactful, effective communicator and an organized multitasker who thrives in a fast-paced, time-sensitive environment. This position is based in New York, NY and reports to the Manager, Standards. We are a geographically distributed department with teams in Los Angeles, Miami, and New York, so you will be expected to partner effectively and collaborate seamlessly with colleagues across the department, including our other department Coordinators.

Requirements

  • BA/BS degree or equivalent experience.
  • Minimum one (1) year of full-time work experience; prior administrative support, media internship, or Page Program experience a plus.
  • Strong and effective verbal and written communication skills, including cross-team synchronization, project management, and presentation skills.
  • Ability to successfully complete a high volume of time-sensitive tasks in an expeditious, precise manner.
  • Strong organizational skills, with the ability to prioritize, work independently and efficiently, and handle multiple projects simultaneously.
  • Ability to consistently maintain a collaborative, positive attitude and a commitment to delivering high-quality work.
  • Strong interpersonal instincts and a demonstrated ability to engage in mature and professional conversations, as the nature of our work may require discussion of sensitive subjects that appear in content undergoing review.
  • Must be willing and available to work overtime including some evenings and weekend hours to meet operational needs, including show production schedules and ad review deadlines.
  • Ability to demonstrate respect for all and help foster an equitable and inclusive environment.

Responsibilities

  • Updating and tracking assignments, coordinate travel, process expense/reimbursement reports, manage subscriptions and memberships, and maintain distribution lists in accordance with company policies.
  • Serving as the main point of contact for department inquiries, including commercial approval status, website registration requests, general IT matters, and issues with internal systems. Engage and communicate clearly, in a timely manner, and with confidence.
  • Providing proactive, timely follow-up for all requests and building strong ongoing relationships with internal and external partners.
  • Proactively monitoring department systems and processes; developing and implementing innovative ideas that improve the way we work and support cross-team collaboration and information sharing.
  • Assisting the SVP with scheduling, including managing a high volume of complex meetings across time zones; prioritizing, proactively monitoring and adjusting meetings with sound judgment, poise, flexibility, and persistence.
  • Coordinating travel, processing expense/reimbursement reports, managing subscriptions and memberships, and maintaining distribution lists for the SVP, in accordance with company policies.
  • Training and collaborating with Pages and Interns on their day-to-day duties and providing backup to them as needed.
  • Completing assigned projects in a timely manner; tracking status, timelines, and milestones and communicating updates to stakeholders clearly and accurately.
  • Operating the delay mechanism during live programming, including outside regular work hours, as needed.
  • Maintaining complete confidentiality and discretion regarding all business matters.
