About The Position

JOB SUMMARY: Manages the overall administrative and clerical functions for that are critical to the successful completion of the facilities work throughout Universal Kids Resort (UKR). This includes the oversight of all facilities projects including accurate and timely entry of action items and/or processes in Maximo, database maintenance, project scope records, and tracking systems for Facilities issues. Plans, schedules, procures and oversees necessary resources and technical specifications for the successful completion of Facility Asset Maintenance, PM system, and scheduled work plans. Maintains, creates, collects, and modifies relevant documentation for Facilities, including but not limited to, themed finish materials and coatings, hardware, substrates, signage, and safety/product data sheets with the purpose of supplying accurate documentation to maintain the original aesthetic intent of the resort. Acts as a liaison for third-party vendors overseeing contracted Facilities work.

  • 3+ years experience in technical coordination/project management required, preferably within facilities or technical services/maintenance; or equivalent combination of education and experience.

Nice To Haves

  • Certified Pool Operator (CPO) certification preferred.
  • Associate’s degree or Technical School is preferred.

Responsibilities

  • Creates purchase requests in Maximo.
  • Implements and draws upon blanket purchase orders.
  • Writes scopes of work and/or contracts.
  • Receives services and product as well as facilitates payment by providing Finance with necessary documentation.
  • Initiates and manages various action items or processes in the project management systems. This includes, but is not limited to Request for Proposals (RFPs), Cost Commitment Requests (CCRs), Notices, Transmittals, Payment Schedules, and Close Out Documentation based on established policies and procedures.
  • Coordinates, delegates and schedules various work to be done by Facilities-related third-party vendors as needed.
  • Interfaces with vendors and Facilities team to deliver information and ensure proper following of the established documentation and technical specifications for each Facilities Asset including the appropriate SDS and TDS information.
  • Performs routine inspections of the property, using maintenance checklists to note any deficiencies.
  • Tracks and reports all issues in appropriate systems.
  • Communicates and coordinates resource needs and work plans to affected departments.
  • Provides two-way communications between work teams and management.
  • Maintains communication between tool crib, purchasing, finance and work areas by providing appropriate paperwork and maintaining queries.
  • Provides vendors and Facilities team accurate paint, coatings, signage, substrate, and hardware documentation for their work plans.
  • Manages rolling audits of paint documentation information and ensures that the teams are properly following established art direction and technical specifications.
  • Follows up with Creative and IP holders when there is a discrepancy with Technical Specifications or Coatings. This includes setting meetings, researching different recorded documentation, creating sample boards of finishes, documenting the approved version from Creative and removing all incorrect/outdated documentation from database and binders.
  • Actively monitors any growth or development in the park and captures any approved changes or new land development.
  • Monitors all safety and training course participation for Facilities Team Members by tracking all required classes, sending reminders and assisting with scheduling to ensure team remains up-to-date on training and compliant at all times.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UDX policy, procedures, training, and team member involvement activities.
  • Perform other duties as assigned.
