About The Position

The Role The Leadership Programs Coordinator is responsible for providing a broad range of coordination, project management, and support for the Dallas Regional Chamber’s (DRC) suite of leadership programs. These programs may include Young Professionals (YP), LEAD YP, Leadership Dallas (LD), and Leadership Dallas Alumni (LDA), as well as general leadership events, Leadership Programs Council, task force, and committees as assigned. This employee supports all affiliates of the Dallas Regional Chamber as required. Reporting Structure This individual will report directly to the Managing Director of Leadership Programs and assist with overall operations of this team. Requirements

  • Bachelor’s degree required; or two to four years related experience and/or training; or equivalent combination of education and experience.
  • Professional and comprehensive experience in an applicable field and/or with an organization that is similar in mission and activities to the DRC.

Nice To Haves

  • Experience in event coordination and execution plus project management is preferred.

Responsibilities

  • Promotes and supports the DRC’s leadership programs by facilitating communications and engagement efforts with members and prospective members of the DRC’s leadership programs, DRC members, and the community-at-large.
  • This role’s core function and responsibilities include project management, in depth attention to detail, and driving deadlines for high profile events and member engagement within the Leadership Programs department.
  • Provides timely responses to internal and external communications via email and phone executing high quality content and engagement in a fast-paced environment.
  • Works with program managers to facilitate recruiting efforts for leadership programs, including targeting prospective members, outreach to prospective members, tracking, and database management.
  • Creates and administers online application forms, marketing flyers, and other tools used for candidate applications for the DRC’s leadership programs.
  • Maintains database for all leadership programs to ensure accuracy through proactive tracking and information management.
  • Manages leadership training assessment and program assessment processes for leadership programs, including executing surveys, data collection, and analysis.
  • Collaborates with program managers and makes program assessment recommendations.
  • Coordinates new member activation, onboarding, and renewals for leadership programs, ensuring processes are seamless.
  • Ensures effective database management, tracking, and communications with program managers and other DRC departments.
  • Coordinates with marketing and communications teams on social media, email communications, and broad program management.
  • Manages registration process for leadership programs events and meetings, including creating event registration pages, processing sign-ups, and attendance tracking.
  • Processes and ensures timely payment collections and payables to vendors.
  • Assists with on-site event preparation and execution of assigned meetings and events, including creating final registration lists, printing nametags, table tents, and agendas, and other tasks as needed.
  • Supports with virtual event/meeting coordination including back-end event management.
  • Supports program managers by coordinating with vendors for meals, meeting space, technology and software needs, and other vendors.
  • Coordinates and corresponds with speakers and volunteers to ensure a seamless experience.
  • Generate post-event reports on attendance, financials, and coordinates accounts receivable and accounts payable with the finance department.
  • Records meeting notes for leadership programs’ councils, task forces, and committee meetings as assigned.
  • Maintains records in member management software.
  • Communicates with internal departments and external partners as needed.
  • Handles billing and invoicing processes, payment collection, and internal payment processing for sponsors, members, and vendors for the leadership programs.
  • Supports department budgeting with timely and effective tracking of expenses and receivables.
  • Maintains accurate and timely information in member management software and shared files.
  • Provides administrative support to the department SVP.
  • Supports DRC general operations and other duties as assigned.
