About The Position

This position is under the direct supervision of the Assistant Manager, Legal Operations, as Coordinator for the Legal Operations function at Universal Destinations and Experiences Legal & Business Affairs, responsible for supporting established document management systems and filing processes. This position also provides on-site administrative backup support for the executive administrative team, primarily providing coverage during absences and peak workload periods. In addition, this position will support UDX Administrators by coordinating facility and supply requests and will serve as a floor warden for the area in accordance with Environmental Health and Safety procedures to support consistent safety preparedness and compliance.

Requirements

  • Associate degree or equivalent combination of education and relevant experience required.
  • 2+ years of experience with Microsoft Office tools.
  • Consistent attendance is a job requirement.

Responsibilities

  • Coordinate document intake, filing, and retention, processing central files storage requests, and maintaining Document Management System files with applicable naming convention, workspace management, adding master agreements, eliminating and renaming documents.
  • Coordinate e-signature workflows and administrative tracking, maintaining administrative logs, compiling and submitting license report forms and preparing filings from approved templates and information provided, routing for appropriate review/approval, and coordinating distribution and record retention.
  • As the on-site administrative backup for Executive Legal Assistants, providing coverage during planned and unplanned absences and peak workload periods, responsibilities include but are not limited to providing administrative support by managing phones, mail receipt and distribution, on-site visitor requests, scheduling and modification of meetings, arranging business trips, and other administrative tasks related to domestic and international UDX businesses.
  • Coordinate logistics management and team member relocation requests, monitor office budget and order all office supplies, submit IT Tickets as requested by Administrators, initiate technical services requests and schedule vehicle maintenance, ensuring completion of all requests.
  • Monitor and implement safety compliance responsibilities in the work area, enhance Environmental Health and Safety preparedness by identifying potential hazards, preventing negative impacts related to fire hazards, hurricanes and maintaining / updating emergency procedures.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UDX policy, procedures, training, and team member involvement activities.
