This position sits within the Office of Institutional Advancement, the university’s fundraising and external engagement division. Institutional Advancement is responsible for securing philanthropic support to advance the university’s mission, strategic priorities, and student success initiatives. Position Summary: Supports the operational effectiveness of the Foundation, Alumni Relations, and Advancement areas while ensuring the accuracy and integrity of financial, administrative, and data processes. Assists with overseeing data management, analysis, and reporting functions that guide fundraising efforts, track campaign progress, enhance donor and alumni engagement, and administer scholarships, all while maintaining compliance, supporting foundation operations, and ensuring the delivery of timely and accurate information for effective decision-making. Supervises professional and/or support staff.

Requirements

  • Bachelor’s degree in business administration or a related field.
  • Four (4) years of development and operational experience within the business sector.
  • Proficient in using advancement databases and analytic tools (e.g., Raiser's Edge NXT, Salesforce, or Ellucian CRM).
  • Demonstrated strong analytical, organizational, and project management skills.
  • Possess a proven ability to develop and implement operational systems that support fundraising.
  • Excellent written, verbal, and interpersonal communication skills.
  • Considerable knowledge of development and operational experience.
  • Demonstrated strong analytical, strategic thinking, and planning skills.
  • Experience in monitoring and overseeing budgets.
  • Considerable interpersonal skills and presentation skills.
  • Demonstrated knowledge and ability to oversee projects and teams.
  • A sound knowledge of philanthropy.

Nice To Haves

  • Experience in nonprofit or for-profit foundation environments is preferred.

Responsibilities

  • Assists with the overseeing of the Foundation business operations, including financial transactions, budgeting, reconciliation and compliance, both internally and with external auditors.
  • Coordinates the preparation and monitoring of budgets for the Foundation, Alumni Association and the overall Office of Institutional Advancement, ensuring alignment with established financial policies.
  • Maintains and reconciles all advancement and foundation gift activity, ensuring accurate processing, documentation, and acknowledgment of gifts and pledges in compliance with financial, regulatory, and donor intent requirements.
  • Provides administrative assistance for scholarship funds, advancement programs, and event-related expenditures to ensure proper documentation, spending compliance, and reporting accuracy.
  • Assists with the development and maintenance of operational policies and procedures to ensure consistency, accountability, and regulatory compliance.
  • Supports the Foundation Board of Directors through meeting preparation, reports, financial summaries, and other materials as needed.
  • Coordinates office operations, workflow, and internal and external communications for the Institutional Advancement team.
  • Oversees the advancement of data integrity, analysis, and reporting to inform fundraising strategy, campaign progress, donor retention, and prospect development.
  • Establishes data standards, reporting tools, and protocols that support informed decision-making across advancement functions.
  • Ensures accurate donor recognition, stewardship, and impact reporting in collaboration with advancement staff.
  • Provides analytical and administrative support to guide donor cultivation, solicitation, and engagement in alignment with institutional fundraising goals.
  • Supports staff training, workload organization, and process improvement to enhance operational efficiency.
  • Works collaboratively with development, alumni relations, marketing, and finance colleagues to coordinate advancement activities and ensure consistency across functions.
  • Provides operational support to leadership on matters related to foundation administration, data management, and workflow effectiveness.
  • Performs other duties and responsibilities related to those enumerated above which do not alter the basic level and responsibilities of the position.
