We are seeking a Practice Manager – Private Investment Funds (“Manager”) to join the Practice Management team in New York. The Manager will work closely with the Private Investment Funds Group Heads (“Group Heads”) and the Associate Director of PIF Training & Development (the “Associate Director”) to support the Firm’s objectives related to attorney development, retention, and the efficient operation of the Private Investment Funds Group (“PIF”).

Requirements

  • Juris Doctor degree required; 3+ years of experience at a top law firm
  • General understanding of transactional practices, and an interest in, or experience with, practice management
  • Strong leadership and management skills
  • Excellent verbal, written and interpersonal communication skills
  • Entrepreneurial, self-motivated and organized
  • Ability to multi-task and effectively prioritize competing demands on time and attention
  • Flexibility to work outside regular business hours as needed
  • This position will require some physical presence in Proskauer’s offices on a weekly basis.

Responsibilities

  • Staffing, Resource Management & Productivity
  • Manage and oversee day-to-day associate staffing for PIF matters across U.S. offices.
  • Serve as the primary point of contact for PIF partners regarding associate availability, experience levels, and staffing needs.
  • Interface with assigning attorneys to receive, clarify, and respond to staffing requests.
  • Monitor associate capacity, utilization, and availability, maintaining a real-time understanding of workloads across offices and sub-practice areas.
  • Match associates to matters based on experience, skill set, client needs, deal complexity, professional development considerations and equitable distribution of work.
  • Identify and address staffing imbalances, capacity constraints, and anticipated workflow pressures, including those driven by fundraising cycles and market activity.
  • Develop, refine, and maintain staffing processes and best practices tailored to a high-volume, fast paced private investment funds practice.
  • Track, analyze, and synthesize staffing and utilization data; prepare reports and updates for Group Heads and Corporate Department leadership.
  • Associate Development & Engagement
  • Develop and maintain professional relationships with associates, with an understanding of individual strengths, experiences, aspirations, and development needs.
  • Conduct regular outreach and meetings with associates to monitor morale, workload, and engagement.
  • Coordinate with mentors, mentees, and associate advisors to support relationship development and career progression.
  • Assist with attorney evaluation processes.
  • Collaborate with team members on the planning and execution of mentoring, morale, and engagement initiatives and events.
  • Training, Knowledge Management & Innovation
  • Work with PIF partners, the Associate Director, and the Senior Practice Management Coordinator to plan and execute practice group meetings, internal training programs, and client training initiatives.
  • Assist with the development and maintenance of training materials, practice group portals, resource lists, and other knowledge management tools.
  • Support the development of benchmarks and skills checklists for associates at various levels and monitor progress.
  • Assist with the exploration, adoption, and integration of legal technologies and innovation initiatives relevant to the PIF practice.
  • Attorney Management & Operations
  • Assist with coordinating secondments, office transfers, leaves of absence, and alternative work schedules in collaboration with HR, Benefits, Finance, and other stakeholders.
  • Collaborate as needed with Recruiting, HR, and Labor on employment-related matters, including visas and tax considerations.
  • Oversee compliance with Firm time entry policies.
  • Manage, in consultation with the Associate Director, the onboarding and orientation of new associates and lateral hires.
  • Manage, in consultation with the Associate Director, departing attorney processes, including matter transitions and restaffing.
  • Budgeting, Planning & Reporting
  • Participate in practice group budget planning and management and advise attorneys on the use of individual budgets.
  • Collaborate with Group Heads, Corporate Department leadership, Recruiting and the Associate Director to support workforce planning and anticipate future staffing needs.
  • Prepare reports and analyses for Group Heads and Firm leadership as requested.
  • Firmwide Collaboration & Strategic Initiatives
  • Serve as a liaison to Business Services departments, including Pro Bono, Business Development, Knowledge Management, Innovation, Human Resources, and Community Equity & Inclusion in support of Firm initiatives and priorities.
  • Contribute to initiatives aimed at improving efficiency, transparency, service delivery, and the associate experience within the PIF practice.
  • Provide general assistance on ad hoc projects, as needed.
