About The Position

The Corporate Receptionist acts as the first point of contact with the public for Goodwill. The receptionist receives incoming telephone calls for the organization, obtains callers’ names, and forwards calls to the appropriate party, answers inquiries, and takes messages. The receptionist attends to the front reception area by meeting, greeting, and directing all visitors. This role also supports basic building access and security operations, helping ensure a safe, secure, and welcoming environment for employees, visitors, and vendors.

Requirements

  • Customer Focus - Has the ability to see, comprehend and relate with customers in an impartial, unbiased yet effective and balanced manner; builds and maintains customer satisfaction with the products and services offered by the organization; provides excellent service to internal and external customers. Maintains a professional and positive attitude.
  • Technical Knowledge – Has proficiency in G Suite, MS Office, and the Internet. Makes appropriate and timely use of office systems used in business facilities whether for the collection of messages, client information storage, or agenda scheduling. Includes working knowledge of security camera systems, badge access systems, and other building entry technologies.
  • Communication Skills - Articulates thoughts and expresses ideas effectively using oral, written, visual, and non-verbal communication skills, as well as listening skills to comprehend others' needs. Delivers information in person, in writing, and in a digital world.
  • Ethical - Adheres to procedures and protocol, including maintaining confidentiality in passwords, logging on and off procedures, and adherence to Goodwill’s values. Uses discretion in sharing information.
  • Organizational Aptitude - Plans and attends to details and pursues quality in accomplishing multiple tasks in an organized and timely fashion.
  • Adaptability - Adjusts priorities quickly in response to frequently changing circumstances while maintaining a positive attitude. Continually assesses tasks and responds to those requiring extra attention. Foresees and seeks to avoid crisis management.

  • Clerical Professional - Has worked effectively in a front office area assisting with administrative activities. Is adept at answering phones, receiving visitors, scheduling meetings, filing, managing paperwork, handling log books, and distributing mail.

Responsibilities

  • Screens incoming calls, correspondence, and voicemails; greets and directs guests in the front reception area.
  • Maintains visitor logs and distributes badges to all visitors.
  • Manages the distribution, activation, deactivation, and retrieval of employee, visitor, and vendor badges, keys, and access credentials.
  • Assists with building entry needs, including coordinating access requests and supporting badge access systems.
  • Supports security system operations by monitoring cameras, conducting camera audits and remote audits as assigned, and reporting concerns appropriately.
  • Serves as a point of contact for facility or security-related inquiries, escalating issues as needed.
  • Collects and distributes daily mail.
  • Logs and secures all packages.
  • Maintains the phone directory.
  • Hears and directs complaints from customers or the public to the appropriate area.
  • Assists areas of the organization with administrative tasks and projects.
  • Maintains the organization and tidiness of the front office area to present a positive impression to all visitors.
