About The Position

The Credit Administration Specialist supports the bank's lending function by ensuring accurate documentation and monitoring of credit activities in accordance with internal policies, regulatory requirements, and sound banking practices. This role is responsible for assisting with credit file maintenance, quality control loan reviews, annual credit reviews, and other tasks necessary to manage the bank's overall credit risk by providing a second line of defense for the bank's lending function. This role partners closely with Consumer and Commercial Lenders, Loan Operations, Portfolio Managers, and Management to implement, maintain, and support efficient credit administration.

Requirements

Nice To Haves

  • Bachelor's degree in Business, Finance, Accounting, or a related field preferred.
  • 2+ years of experience in credit administration, commercial banking, or bank loan operations preferred.
  • Equivalent combination of education and banking experience will be considered.
  • Proficiency in Microsoft Office applications (in particular, Excel); experience with banking systems and digital platforms preferred.

Responsibilities

  • Performs post-closing quality control loan reviews to verify underwriting, documentation, proper approvals, and adherence to loan policy.
  • Helps maintain the integrity of the bank's credit portfolio by verifying the completeness and accuracy of the credit files.
  • Serves as the point person for receiving and handling credit file documents; sets and rolls credit file ticklers for new and existing borrowers as credit file documents are obtained.
  • Tracks and manages financial statement reporting requirements, ensuring timely receipt, analysis readiness, and escalation of past-due financials.
  • Monitors annual review requirements for loan relationships, tracking due dates and coordinating with lenders, credit managers, and portfolio managers to ensure timely completion and submission in accordance with loan policy.
  • Helps with projects related to core system clean-up and review as needed.
  • Ensures policy exceptions are properly approved, documented, tracked, and reported to Management as necessary.
  • Monitors loan covenants and works with lenders to verify monthly, quarterly, or annual compliance.
  • Compiles loan committee packages, creates the weekly meeting agenda, and posts all necessary meeting documents to the bank's loan committee portal.
  • Records and drafts loan committee minutes, documenting attendance, decisions, approvals, conditions, and action items for the bank's official records.
  • Monitors Borrowing Base Certificates for asset-based loans, ensuring compliance with borrowing base formulas, collateral eligibility, and reporting frequency requirements.
  • Assists with Officers Guidance Line (OGL) management and tracking, including monitoring balances and ensuring usage remains within approved limits and policy guidelines.
  • Assists with the Commercial and Residential Construction loan draw process, reviewing draw requests, verifying inspection reports and supporting documentation, and coordinating with lending and operations teams to ensure accurate and timely funding.
  • Gathers documentation for external loan reviews and regulatory examinations as needed.
  • Ensures credit administration activities comply with bank policies, procedures, and regulatory requirements.
  • Assists with policy exception handling and risk mitigation efforts.
  • Maintains accurate records and documentation in accordance with audit and compliance standards.
  • Works closely with Loan Operations, IT, Compliance, and Lending staff to ensure safe and sound credit practices.
  • Assists with testing, implementation, and enhancement of credit administration products and systems.
  • Contributes to process improvements to enhance efficiency and client experience.
